Job Summary The Rehabilitation & Heavy Repair Coordinator provides critical administrative and logistical support to the Fleet Maintenance team. This role is responsible for scheduling, tracking, and documenting the rehabilitation and repair processes of fleet assets for Airgas Nitrogen Services (ANS) and the PPS/OWS group. The Coordinator serves as the central liaison between internal shops, external vendors, and management across North America and Canada to ensure maintenance schedules and rehabs remain on track and inventory is accurately managed. Manage procurement for Canadian PPS/OWS group and district MRO.

Key Responsibilities

Cross-Border Scheduling: Coordinate major maintenance and refurbishment projects with internal and external shops for both US-based ANS assets and the Canadian PPS/OWS fleet, ensuring timelines align with regional operational needs.

Asset Routing: Work with the Fleet Manager and Repair Manager to route assets to appropriate facilities for scheduled repairs, upgrades, and overhauls, managing the logistical challenges of moving equipment between the US and Canada when necessary.

Status Tracking: Monitor the daily progress of units undergoing rehabilitation across all regions and provide regular status updates to management.

Vendor Liaison: Serve as the primary point of contact for external vendors regarding repair status, intake/release of equipment, and invoicing queries.

Generate monthly slides for business review.

Inspection Data Entry: Compile inspection reports from units in rehab (including PPS/OWS assets) to assist management in identifying trends regarding abuse, damage, or premature wear.

Audit Support: Conduct or coordinate physical equipment audits and reconcile records to ensure the accuracy of the fleet database for both US and Canadian operations.

Record Keeping: Maintain detailed service history files for all specialized equipment, ensuring data integrity for future reference.

Parts Logistics: Execute the issuance, shipping, and return of spare parts to support repair projects; manage international shipping documentation for parts destined for the PPS/OWS group in Canada.

Warranty Processing: Gather necessary documentation and photos to support warranty claims; track claim status to ensure item failures are processed within warranty periods.

Purchase Orders: Generate and process purchase orders for parts and vendor services in accordance with company policy.

Regulatory Documentation: Verify that all repair documentation meets Airgas Industrial Management System (IMS), DOT, ASME, CGA, and OSHA standards (as well as Transport Canada regulations where applicable) before filing.

Training Coordination: Schedule onboarding sessions and continuous training programs for mechanics in both US and Canadian regions as directed by management.

Qualifications

Experience: 2–4 years of experience in fleet maintenance coordination, logistics, or industrial operations support, manufacturing of cryogenic equipment, purchasing in rehabilitation or cryogenic manufacturing.

Technical Familiarity: Basic understanding of heavy equipment, nitrogen services assets, or petrochemical fleet operations is preferred.

Regional Knowledge: Experience with cross-border logistics or managing assets in Canada is a plus.

Software Skills: Proficiency in Google Suites, PTG and SAP.

Skills: Strong organizational skills, attention to detail, and the ability to manage multiple vendors and schedules simultaneously.
