Job Overview Residents of patients’ first telephone point of contact for making appointments in our medical programs. Accurately determine appointment requests and schedule/confirm appointments, utilizing a personal phone system and practice‑management software.

Responsibilities

Schedule patient appointments per clinic protocols.

Use current Practice Management System to book appointments.

Confirm appointment details (date, time, location, provider) with patients.

Advise patients on required materials (insurance, forms, etc.).

Conduct initial telephone screening and triage urgent calls to the nurse.

Reschedule or cancel appointments as needed.

Support physicians and other health‑care providers.

Attend staff meetings and training seminars.

Maintain regular, predictable attendance.

Perform miscellaneous job‑related duties as assigned.

Qualifications

High School Graduate or equivalent.

Previous experience in customer service, scheduling, or multi‑line office settings.

Medical office experience preferred.

One year of prior medical assistant experience preferred.

Success Factors

Excellent oral and written communication; courteous telephone manner.

Computer skills – Windows‑based software.

Familiarity with multi‑line phone systems.

Independent judgment and discretion; ability to handle confidential information.

Knowledge of medical terminology; empathetic and respectful to diverse clients and staff.

Ability to work in a noisy or stressful environment and maintain safety and protocol compliance.

Working Conditions & Safety

Interior office environment.

May be exposed to contagious diseases, injuries, or emotional states.

Prolonged periods of sitting and computer use; may lift up to 15 lb.

Must navigate multiple departments and adhere to process protocols.

All employees are responsible for maintaining a safe work environment, completing required training, and reporting hazards.
