Event Coordinator
Supports the sales department in executing the important behind‑the‑scenes administrative functions that keep the Store functioning efficiently. Without this critical role, our efforts to provide “unreasonable hospitality” would be impossible. The Event Coordinator is responsible for completing administrative duties & confirmation calls to finalize event details and participates in the sales process, managing a portion of booking our valuable social market.
You will be an outstanding event coordinator if:

Good decision‑making skills and can communicate effectively with guests, Sales Team and Management Team
Can communicate clearly and regularly with Operations, the Sales Team and guests
Can clearly verbalize guests’ needs to Operations and other Team Members
Strong organization skills
Strong verbal skills
Can analyze basic data to help Operations and the Sales Team with decision making
Can read and communicate in English
Essential Duties and Responsibilities
Go above & beyond to ensure the needs of each Special Events Guest are met, communicating all requests from host to ensure contracts are updated accordingly.
Take RFPs and calls for social events, converting them to closed “won” business.
Conduct site tours as needed.
Ensure accurate and prompt distribution of all paperwork for “pop‑up parties”, working through the management team to secure staff support.
Provide administrative support to the Sales Department, including follow‑up on calls/emails/tasks with Event Hosts after the sale is “closed won”, and communicate any changes to BEOs or updated signed contracts to Operations.
Follow up on ARs, collect payment information, and close out any remaining balances.
Submit check requests/invoices as needed.
Ensure Operations has the most up‑to‑date BEO for each event.
Offer “upsell” opportunities to Event Hosts after sale is “closed won”.
Because we expect you to “Act like you own it”, the role includes everything listed above plus the ever‑popular “other duties as assigned”. If you see a need, meet it; if you have an idea, share it; if you see a Team Member needing help, jump in and lend a hand.
