The BREAKTHRU Multi Family Office is an invite-only family office focused on helping clients define and achieve their true meaning of wealth through the integration of family, work, and financial initiatives.
The Office Administrator & Concierge supports internal office operations while serving our high-touch clientele in a very discreet manner. This individual thrives in an entrepreneurial, fast-paced environment, is detail oriented, and pivots seamlessly between administrative, logistical, client-facing, and project coordination responsibilities. The ideal candidate brings a strong “customer delight” mindset and is driven by a genuine desire to serve, with the understanding that responsibilities may evolve as client needs change.
Key Responsibilities Office & Executive Support
Schedule meetings for leadership and the team, as well as select personal meetings
Stock, order, and manage office supplies
Maintain government filings and internal documentation
Assist with data entry within Salesforce
Philanthropy & Community Engagement
Coordinate philanthropic initiatives, including events, scholarships, and nonprofit partnerships
Event Planning & Hospitality
Plan and coordinate client and team outings, dinners, and networking events
Prepare the office for client meetings such as preparing rooms, printing handouts, and setting up lunch
Own travel coordination, including flights, accommodations, and transportation
Manage itineraries and last-minute changes with discretion
Maintain strategic relationships with flight vendors
Benefits, Insurance & Client Services Support
Handle client bill pay with accuracy and confidentiality, including bill pay reporting support
Support benefits administration for the BREAKTHRU Family of Companies as needed
Qualifications
Exceptional discretion and professionalism when handling sensitive information
2+ years of experience in office administration, executive support, concierge, event planning, or operations roles
Proficiency with Microsoft Office 365 (Outlook, Teams, Word, Excel)
Ability to manage multiple responsibilities simultaneously
Comfortable adapting quickly in a dynamic environment
