Executive Assistant (Entry-Level) COEM (The Center for Occupational & Environmental Medicine) is a dynamic and growing organization that values efficiency, professionalism, and collaboration. We are looking for an organized and proactive Executive Assistant to provide administrative support to our leadership team. Job Summary The Executive Assistant will support executives by handling administrative tasks, coordinating schedules, managing communications, and ensuring smooth daily operations. The ideal candidate is detail‑oriented, adaptable, and eager to learn. Candidates should be comfortable to handle both in‑office and out‑of‑office tasks including setting up and attending meetings with executives or initially on behalf of executives.

Key Responsibilities

Manage executive calendars, schedule meetings, and coordinate appointments.

Screen and handle emails, phone calls, and correspondence on behalf of executives.

Prepare reports, presentations, and documents as needed.

Maintain confidential records and organize digital and physical files.

Assist in event planning and company meetings.

Perform basic research and gather data for executive decision‑making.

Handle office‑related administrative tasks, including ordering supplies and processing expense reports.

Serve as a liaison between executives and internal/external stakeholders.

Initiate contact with stakeholders and companies that COEM is interested to work with.

Qualifications & Skills

Bachelor’s degree in Business Administration, Communications, or a related field preferred.

Strong organizational and time‑management skills.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Suite.

Ability to multitask, prioritize, and meet deadlines.

High level of professionalism, discretion, and confidentiality.

Eagerness to learn and grow within the company.
