Pre‑Services Coordinator Willamette Valley Cancer Institute and Research Center is seeking a Pre‑Services Coordinator to join the Centralized Schedulers at the Eugene Central Business Office. The role focuses on new patients who need to be seen by our care team, assisting patients in navigating the first steps of their care journey and ensuring all information is in order before their first visit.

The general pay scale for this position at WVCI is $20.00 – $30.00. The actual hiring rate is dependent on factors such as prior work experience, education, job responsibilities, location, and work performance.

Responsibilities

Coordinating referrals at a high volume and scheduling patients in a timely manner.

Using and managing multiple forms of communication within the clinic, including Teams, email, and chart messaging.

Accessing outside labs and PHI from external EMR systems.

Answering, screening, and responding to routine questions, routing to appropriate personnel, or taking thorough messages.

Communicating messages accurately and timely according to procedures.

Communicating with referring offices to gather necessary PHI for appropriate scheduling.

Communicating with providers and learning their specialties.

Scheduling initial appointments for patients in accordance with physician and/or office guidelines.

Providing patients with appointment details such as time, location, directions, instruction sheets, and other details.

Recording patient cancellations and missed appointments; rescheduling appointments and notifying appropriate staff.

Providing general administrative support by filing charts and forms.

Adhering to confidentiality, state, federal, and HIPAA laws and guidelines regarding patients’ records.

Performing other duties as requested or assigned, which may include typing memos and forms.

Qualifications

High school diploma or equivalent required.

Proficiency with computer systems and Microsoft Office (Outlook, Word, Excel) required.

Physical Demands Requires full range of body motion, including handling and lifting patients, manual and finger dexterity, and eye‑hand coordination. Requires standing and walking for extended periods and occasionally lifting items up to 40 lbs. Corrected vision and hearing to normal range are required. Reasonable accommodations may be made for individuals with disabilities.

Work Environment The work environment may include exposure to communicable diseases, toxic substances, ionising radiation, medical preparations, and other conditions common to an oncology/haematology clinic. Work involves in-person interaction with co‑workers, management, and/or clients. Minimal travel by automobile to office sites may be required.
