Administrative Assistant/Front Desk—Vacation Property Management

The Administrative Assistant / Front Desk position plays a vital role in supporting daily operations and delivering exceptional customer service at Bailey Vacation Property Management. This individual serves as the first point of contact for guests, clients, and vendors, creating a welcoming and professional experience while efficiently handling administrative and operational responsibilities that contribute to the overall success of the company. Vacation Property Management is open Monday through Saturday, September through May and Monday through Sunday June through August. This position’s schedule is Tuesday – Saturday 9:00am – 5:00pm. Key Responsibilities

Guest Services: Greeting guests warmly upon arrival and respond to inquiries regarding accommodation and services; coordinate guest check-ins and check-outs; address guest concerns and complaints promptly and professionally. Administrative & Operational Support: Maintain and update booking reservations, guest records, and internal databases; help maintain an active and consistent social media presence; serve as the primary point of contact by answering incoming phone calls promptly and professionally; oversee the coordination and delivery of operational supplies to and from properties; support property management operations, including supply inventory tracking, inspections, and coordination of cleaning services; organize, file, and manage property keys; maintain a clean, organized, and professional front office environment. Communication & Coordination: Serve as a liaison between guests and the management team; respond promptly to phone calls, emails, and online inquiries related to reservations and operations; coordinate with vendors and contractors to ensure timely maintenance and repair services. Required Qualifications

Education:

High school diploma or equivalent (additional certifications in hospitality or administrative management are a plus). Experience:

1–2 years of experience in customer service, front desk, or administrative roles; hospitality or real estate experience preferred. Technical Skills:

Proficiency with office software such as Microsoft Office and Google Workspace. Soft Skills:

Strong organizational abilities, excellent communication skills, attention to detail, and a friendly, professional demeanor. Preferred Qualifications

Experience in vacation rental or property management. Knowledge of local attractions and services to enhance guest experiences. Ability to multitask and remain organized in a fast‑paced environment.
