Under general supervision and according to established policies and procedures, this half‑time position supports general accounting functions such as monitoring the firm’s general email account, receiving client inquiries, resolving billing issues, and maintaining client and matter accounts. The role produces monthly statements, final invoices, and management reports and maintains all aspects of the time and billing system. The other half of the position handles administrative duties including delivering and picking up documents and packages, managing inventory and office supplies, handling mail, and covering front‑desk receptionist duties as needed. Essential Duties and Responsibilities
Utilize the firm’s computerized accounting system for all time and billing functions and work with client billing software, including electronic invoicing processes. Maintain and monitor data in the system related to time and billing matters, such as rates, timekeepers, client information, and client accounts. Accurately edit account time entries and information as requested by attorneys prior to final billing. Produce final invoices as requested and on a monthly basis according to the firm’s billing policy and procedure. Assist clients and firm members with billing questions by telephone or in person. Produce various monthly, quarterly and annual management reports for the COO. Assist the bookkeeper with duties including daily posting of receipts, preparation of deposits and vouchers for expense advancements. Maintain general client files related to billing and accounting matters. Assist with other related activities and special projects as required, including front‑desk reception duties monthly and as needed. Complete the duties of the office runner. Requirements
Ability to understand computer concepts and software, including legal time, billing, accounting and spreadsheet software such as Excel, with excellent attention to detail and accuracy. Ability to assemble files and organize information using alphabetical and numerical filing guidelines. Ability to organize and prioritize numerous tasks and complete them under time constraints. Ability to read and write at a level normally acquired through the completion of high school or equivalent, to maintain records and filing systems. Approximately two years of related experience required to understand time and billing policies and procedures. Interpersonal skills necessary to communicate and follow instruction effectively from attorneys and staff and provide information with ordinary courtesy and tact. Interpersonal skills necessary to communicate by phone and provide information with ordinary courtesy and tact. Work may require a high level of mental effort and strain when performing a high volume of clerical tasks. Ability to retrieve and distribute files, written documents or office supplies weighing up to 12 pounds and retrieve and replace objects from shelves up to 8 feet high. Work may require irregular hours and occasionally more than 40 hours per week. A valid driver’s license with an excellent driving record. Ability to lift up to 50 pounds may be required.
