Primary Purpose: The primary purpose is to ensure the efficient operation of the Superintendent’s office and provide clerical services to the Superintendent and Board of Trustees. Handle confidential information and frequent contact with all levels of District employees, outside agencies, and the general public.
Qualifications: Education:
High School diploma or equivalent
Experience:
Three to five years advanced administrative assistant experience, to include extensive contact with people
Prior experience in executive office of public-school district or another entity
Special Knowledge/Skills:
Effective organization, communication, and interpersonal skills
Proficiency in software applications to develop spreadsheets, databases and word processing
Knowledge of District organization, operations, and administrative policies
Ability to operate office equipment
Major Responsibilities and Duties:
Organize, prepare, and post official board agenda and records for board meetings.
Record minutes of executive staff and board meetings as required.
Collect, organize, copy all materials for board meetings.
Prepare all correspondence and reports for the Superintendent.
Compile information and prepare reports as needed.
Schedule appointments and maintain the Superintendent's calendar.
Answer incoming calls and greet visitors. Respond to routine inquiries from the public, board members, and staff and refer appropriate inquiries or problems to superintendent or other administrators
Organize and manage routine work activities of the executive office
Maintain physical and electronic files, including board minutes and closed session records.
Assist with meeting and travel arrangements for Superintendent, board members, and administrators as needed.
Create and maintain budget for Superintendent and Board
Perform the duties of Election Clerk
Attend Election Law training sessions
Maintain transcripts for continuing education credits of board members
Review and distribute mail
Maintain confidentiality
Participate in meetings and training sessions as designed by district staff.
Regular and consistent attendance
All other duties as assigned
Supervisory Responsibilities: None
Working Conditions: Mental Demands/Physical Demands/Environmental Factors:
Maintain emotional control under stress. Demonstrate patience and flexibility in changing job demands and when interacting with parents, staff, students, visitors and the public. Work with frequent interruptions. Repetitive hand motions, prolonged use of computer and continuous sitting. Occasional prolonged and irregular hours.
