Fiscal and Vital Records Supervisor - Register of Deeds Hourly Pay Rate: $23.68 to $35.52

Job Summary The Fiscal and Vital Records Supervisor works under the direction of the Fiscal and Vital Records Manager, assisting in daily administrative and fiscal functions. This position also assists with vital records.

Essential Duties and Responsibilities

Share responsibility for management of the operation and performance of the department, oversee the Laredo Internet Access Accounts, manage WI DOR financials, and administer state statutes where applicable.

Daily cash balancing and reconciliations; prepare daily deposits and deliver to County Treasurer.

Perform reconciliation of daily accounting, complete cash receipt entries in Infor, manage ACH payments, compile statistical data and various reports, prepare check requests and journal vouchers, and assist with purchasing.

Assist in training new vital records (VR) staff; provide VR clerk backup during staffing shortages; troubleshoot balancing errors; and provide customers with written or verbal communications regarding vital records and/or administrative functions/requests.

Prepare data entry functions into appropriate categories to record vital records sales and invoice payments; receive large amounts of tender; prepare end‑of‑day cash count slip and balance cash drawer.

Other duties as assigned.

Must be a current resident of Wisconsin.

High School Diploma or GED equivalent.

Two (2) years of work experience in a register of deeds office and/or equivalent related professional business environment.

At least one (1) year of lead or supervisory experience.

Basic knowledge of all related computer and software applications, such as word processing and spreadsheets including Microsoft Excel, Word, Email and On Base.

Additional Knowledge, Skills, and Abilities The employee in this position will become fully trained in all the duties and responsibilities of the Fiscal and Vital Records Manager. In the event of an unexpected vacancy of the Fiscal and Vital Records Manager, the department needs the Fiscal and Vital Records Supervisor to be able to step in to fulfill all the duties and responsibilities of the Fiscal and Vital Records Manager. This position will also perform budget functions alongside the Fiscal and Vital Records Manager.
