Family Office Client Operations Manager
Location: Springfield, IL – In‑office position.
Job Summary The Family Office Analyst & Operations Officer supports INB’s Family Office Team by providing comprehensive financial analysis, operational coordination, and client record management for high‑net‑worth individuals and families. This role serves as a critical link between advisors, clients, and internal teams by ensuring accurate data collection, financial reporting, and seamless execution of family office services.
Key Responsibilities
Coordinate the gathering of financial documents from clients, advisors, custodians, and third‑party providers.
Organize, maintain, and update client records in accordance with internal policies and regulatory requirements.
Ensure accurate and timely documentation to support financial planning, reporting, and advisory services.
Serve as an operational liaison between Family Office Advisors, internal teams, and external partners.
Analyze and record financial statements, including bank, investment, trust, insurance, and liability statements.
Reconcile and verify financial data to ensure accuracy, completeness, and consistency.
Input, maintain, and update client financial data within financial planning and reporting software.
Monitor data integrity and proactively identify discrepancies or missing information.
Prepare detailed financial reports, including net worth statements, balance sheets, and cash flow summaries.
Create executive‑level reports and presentation materials for Family Office Advisors and clients.
Assist in the preparation of client review materials, planning summaries, and ongoing service deliverables.
Support ad hoc financial analysis and reporting requests as needed.
Manage and support the integration of financial planning, reporting, and data aggregation software across multiple INB business units.
Coordinate with internal technology teams, vendors, and business unit stakeholders to ensure systems function cohesively and data flows accurately.
Oversee system management related to client access, permissions, and user experience across Family Office platforms.
Monitor and validate data feeds, file integrations, and automated uploads to ensure accuracy, timeliness, and continuity of information.
Identify, troubleshoot, and elevate system or data feed issues to appropriate partners, ensuring timely resolution.
Support system enhancements, testing, and implementation of new tools or integrations as the platform evolves.
Maintain strict confidentiality of all client and Family Office information.
Adhere to INB policies, regulatory standards, and best practices related to data security and recordkeeping.
Support internal audits, reviews, and examinations by ensuring documentation is accurate, complete, and accessible.
Contribute to continuous improvement of workflows, systems, and service delivery models.
Qualifications Education and Experience
Bachelor’s degree in Finance, Accounting, Economics, Business Administration, or a related field.
2+ years of experience in financial analysis, operations, family office services, wealth management, or banking.
Strong analytical, organizational, and problem‑solving skills with exceptional attention to detail.
Proficiency in Microsoft Excel and Microsoft Office Suite.
Experience working with financial statements and complex financial data.
Preferred
Experience with financial planning and reporting software (e.g., eMoney, MoneyGuidePro, Orion, Black Diamond).
Familiarity with family office structures, trusts, estates, and multi‑entity financial reporting.
Prior experience in wealth management, private banking, or a family office environment.
Knowledge, Skills, and Abilities
Effective written and verbal communication skills.
Self‑starter, able to perform tasks independently.
Mathematical proficiency: basic calculations, rate, ratio, percentage, graph interpretation.
Reasoning ability: good judgment for routine and complex decisions, strong customer service skills, ability to handle large sums of cash.
Computer proficiency in all Microsoft Office programs and quick learning of bank‑related programs.
Ability to manage multiple priorities and deadlines, collaborate, and prioritize process improvement.
Physical Demands Regularly lift and/or move up to 10 pounds. Long periods of sitting at a computer monitor. Use of hands to maintain desktop/laptop computer systems.
