Position Overview We are seeking a Senior Events Associate who excels in a collaborative, fast-paced agency setting and enjoys managing multiple clients with distinct goals, cultures, and work styles. This role is ideal for someone who is flexible, highly organized, and energized by leading several projects at once while working closely with colleagues and clients to bring events to life.
The Senior Events Associate will manage in-person, virtual, and hybrid events from concept through execution, serving as a key team member across multiple accounts. Success in this role requires strong teamwork, adaptability, and the ability to confidently balance competing priorities while maintaining high-quality work and positive client relationships.
What We’re Looking For The ideal candidate is a team-oriented project and event manager who can seamlessly move between clients and projects, adapt to different working styles, and collaborate across disciplines.
5+ years of relevant event project management experience, preferably in an agency or client-services environment, but not required
Demonstrated ability to manage multiple clients and projects simultaneously without losing attention to detail
Strong collaborator who enjoys working on cross-functional teams and contributing to shared success
Flexible, solutions-oriented mindset with the ability to adapt quickly to shifting priorities
Excellent written and verbal communication skills
Proven ability to balance independent ownership of projects with active team engagement
Strong organizational skills and a detail-oriented approach
Comfort working in a fast-paced, deadline-driven environment
Ability to learn and work across a range of tools and platforms, including Microsoft Office, Google Workspace, Zoom, Canva, MailChimp/Constant Contact, and project management systems such as Asana
Experience with event management systems (e.g., Cvent, Aventri, Crowd Compass) a plus
Ability to lift up to 25 pounds
Willingness to travel (up to 25%) and work evenings and weekends as needed
Bachelor’s degree or equivalent experience
Key Responsibilities The Senior Events Associate will work across teams and accounts, partnering closely with colleagues and clients to deliver seamless event experiences.
Responsibilities include, but are not limited to:
Managing multiple events and projects concurrently, balancing timelines, deliverables, and client expectations
Collaborating with internal teams and external partners to plan and execute in-person, virtual, and hybrid events
Coordinating event logistics, including agendas, materials production, speaker communications, travel support, and participant engagement
Serving as a central point of coordination to ensure clear, consistent communication across project teams
Leading and participating in regular project check-ins, team meetings, and client calls
Preparing client meeting agendas, documenting action items, and tracking follow-up across multiple workstreams
Developing and managing project timelines, task lists, and status reports
Drafting event-related communications, including correspondence, newsletters, and social media content
Managing vendors, including researching options, coordinating RFPs, reviewing responses, and supporting selection processes
Assisting with event budgets, expense tracking, and financial reporting
Overseeing registration systems, databases, event websites, and mobile apps
Supporting speaker management, including materials collection, preparation, and on-site or live-event support
Providing day-of coordination with venues, AV teams, vendors, and online platforms
Building and maintaining strong, collaborative relationships with clients, partners, and internal teammates
