Regional Office Administrator

Position Summary The

Administrative Law Paralegal

is a non‑exempt, full‑time position based in our

Austin, TX

office. It provides paralegal support to multiple attorneys within our public utilities practice area. The role requires a confident, professional individual with strong organizational and writing skills. Spencer Fane offers an excellent benefits package and a collaborative environment.

Compensation We carefully consider a wide range of factors when determining compensation, including your background and experience. The hourly pay rate for this role is expected to start between $40.09 and $52.69 per hour, with salary offset by your qualifications and experience.

Position Responsibilities

Communicate professionally, productively, and efficiently with clients, contacts, attorneys, other paralegals, and other firm workers.

Provide support to utility law attorneys with drafting, research, document review/analysis, preparing productions, and preparing for hearings, depositions and trials.

Prepare and file applications and pleadings with various state agencies including the Public Utility Commission of Texas, Texas Commission on Environmental Quality, and Railroad Commission of Texas.

Search the Internet and site‑specific resources to gather information or documents requested by attorneys.

Participate in trial preparation and mediations as needed.

Research and summarize records to assist in data gathering, including organizing information in databases.

Prepare documents and schedule docket deadlines for meetings and court filings.

Coordinate meetings, including scheduling, drafting minutes, drafting meeting agendas, and creating meeting packets.

Check citations, proofread documents, and collect exhibits.

Perform general administrative tasks such as mailings, file retrieval, handling service payments, filing emails, etc.

Track and record time to ensure services are appropriately charged.

Qualifications & Skills

Undergraduate degree and/or paralegal certificate required.

3–5 years of experience in a law firm or in‑house legal department required.

Litigation experience is helpful but not required.

Experience with regulatory‑agency related practices preferred.

Experience with large‑matter document review and production (physical and electronic files).

Ability to prioritize and coordinate projects for multiple attorneys simultaneously.

Cope successfully with attorney demands and remain calm under pressure.

Strong organizational, research, problem‑solving, and time‑management skills.

Self‑starter with willingness to work long hours when needed.

Conduct business in a confidential manner.

Advanced knowledge of Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).

Strong oral and written communication skills, including keyboarding.

Physical Requirements

Position is generally sedentary; involves sitting most of the time but may require brief inter‑office mobility.

Ability to occasionally lift 10–20 lbs.

Ability to efficiently communicate.

Ability to perform repetitive motions.

Ability to see and read PC screens, detect color coding, read fine print, and normal type‑size print.
