Admissions Coordinator
Location Rego Park Healthcare - Queens, NY

Overview The Admissions Coordinator is often the first voice families hear and the first face they see when they walk through our doors. This role is about compassion, communication, and coordination, helping residents and their families feel supported from the very first phone call through move‑in day. You’ll guide families through the admission process, communicate with hospital discharge planners and case managers, and ensure every referral is handled with professionalism, empathy, and efficiency.
Key Responsibilities
Receive, review, and respond promptly to all referrals from hospitals, rehabs, and community partners.
Work closely with the Director of Admissions, nursing, therapy and administration to determine clinical and financial eligibility.
Maintain constant communication with hospitals, discharge planners and case managers regarding bed availability, admissions status and patient updates.
Coordinate with insurance companies for pre‑authorizations and approvals when necessary.
Serve as the primary contact for families during the admission process, providing reassurance and clear explanations at every step.
Conduct tours of the facility, presenting Rego Park Healthcare’s programs and amenities in a compassionate, professional and inviting manner.
Assist families with admission paperwork, financial applications and insurance inquiries.
Follow up with families post‑admission to ensure satisfaction and a smooth transition.
Ensure all admission documentation is accurate, complete and in compliance with federal, state and facility regulations.
Maintain up‑to‑date knowledge of Medicare, Medicaid and insurance requirements.
Track census activity, referrals, denials and admissions daily; provide reports to leadership.
Coordinate closely with the business office, social work and nursing teams to maintain a seamless admission process.
Partner with the Marketing team to support outreach efforts and help strengthen community relationships.
Participate in interdisciplinary meetings to share updates on pending and new admissions.
Represent Rego Park Healthcare with professionalism and warmth at hospital meetings, community events and tours.
Qualifications
Associate’s or Bachelor’s Degree preferred (Healthcare Administration, Business or related field).
Minimum 2 years of experience in a healthcare admissions role (skilled nursing or rehab setting preferred).
Familiarity with hospital referral systems, insurance verification and long‑term care processes.
Excellent communication, organizational and customer service skills.
Compassionate, detail‑oriented and able to manage multiple priorities in a fast‑paced environment.
Bilingual (English/Spanish) preferred but not required.
Schedule & Compensation Full‑Time, Monday‑Friday with flexibility for occasional weekend or evening admissions.
Pay range: $25.00/hr – $30.00/hr (based on experience).
