Houston Methodist At Houston Methodist Hospital, the Clinic Coordinator is a multifaceted clinic-based role which, in conjunction with management, organizes the daily activities of the clinic ensuring provider support, patient experience, advanced and complex clinic/administrative tasks, to support clinic flow. The incumbent may also be required to perform scheduling activities (appointments, procedures, and/or surgeries), ensure medical necessity compliance, and verify eligibility for care. Other duties include independently performing the duties of preceptor and clinical resource to Medical Assistants for training and orienting others; organizing and directing all aspects of the daily clinic operations to support and maintain policies and procedures. The Clinic Coordinator will provide training and oversight in pursuing safety, quality, service, education, and innovation for patients.

Qualifications

Education High School diploma or equivalent education (examples include GED, verification of homeschool equivalency, partial or full completion of post-secondary education, etc.)

Experience Five years as a Senior/Advanced Medical Assistant

Two years demonstrated leadership experience (e.g., mentor, quality control, or clinical process improvement) preferably in health care

One year Training experience preferred

Licenses and Certifications Required: BLS - Basic Life Support or Instructor (AHA); Medical Assistant Certification CMA from NAHP, NCCT, NHA, AAMA, or RMA from AMT, or CCMA from NHA Preferred: CPT – Certified Phlebotomy Technician (ACA)

Skills and Abilities

Demonstrates the skills and competencies necessary to safely perform the assigned job, determined through ongoing skills assessments and evaluations.

Proficient in speaking, reading, and writing English to perform essential functions, especially where patient or employee safety or security is impacted.

Ability to communicate effectively with patients, physicians, family members, and co-workers with a customer-service focus.

Must be EPIC proficient.

Knowledge of medical practice and care of patients; ability to assist with examinations, diagnostic and treatment procedures; knowledge of medical equipment and instruments.

Develops and maintains clinical quality assurance for accurate medical records.

Demonstrates learning attitude, problem solving, good reasoning and judgment.

Provides safe, patient-centered, compassionate and competent care.

Proficient in computer skills for documentation and work-related purposes; completes required continuous training and maintains current certifications.

Ability to establish and maintain effective working relationships with patients, medical staff, co-workers, and the public; works well in a team.

Understands patient population as it relates to the clinical disease process.

Demonstrates advanced assessment competencies appropriate for level of practice.

Essential Functions People Essential Functions

Coordinates patient flow, obtains patient demographics as needed, prepares patient for provider/mid-level visit, and provides backup to clinic staff.

Organizes daily schedules and work activities; provides coverage to meet patient needs.

Assists with triage, prescriptions, refills, and referrals; serves as a clinical resource and mentor to colleagues; provides structured feedback with examples.

Works with clinical management to assess and determine process protocols for the clinic; conducts meetings with clinic staff and Practice Manager.

Service Essential Functions

Engages in planning, organizing, and directing all aspects of clinic operations. Collaborates with leadership and other clinics to develop new processes for continued patient care.

Provides quality oversight for documentation of vital signs, chief complaints, medications reviews, and medical/social history in EMR; documents all diagnostics, treatments, and procedures per policy.

Quality/Safety Essential Functions

Interprets provider orders, safety rules, and manuals; follows up with patients to ensure compliance with recommendations and results; ensures MyChart activation where appropriate.

Investigates and provides information for internal and external complaints to management.

Coordinates care with hospital, ED, consulting physicians, and community resources as appropriate.

Leads efforts to improve patient satisfaction and ensures Environment of Care rounds are performed monthly in the clinic.

Finance Essential Functions

Oversees clinic resources to align with budget goals; assists in long-range planning of clinic needs.

Arranges pre-authorizations and pre-certifications of procedures as needed.

Growth/Innovation Essential Functions

Participates in curriculum development for Graduate Medical Assistant staff and provides development guidance for new clinical employees.

Collaborates with clinic management on process improvement.
