Overview We are seeking a highly organized and proactive Dispatch Coordinator to manage daily first‑mile pickup scheduling and truck driver assignments for our local warehouse operations. You will oversee the coordination of pickup requests, dispatch local truck drivers, and ensure accurate and timely communication with warehouses, carriers, and internal teams. This position requires strong multitasking ability, attention to detail, and the capacity to operate confidently in fast‑paced, real‑time environments.

Key Responsibilities 1. Pickup Planning & Route Assignment

Pickup Scheduling: Review daily pickup requests from warehouse teams, vendors, and system‑generated orders {{-- convert them into clear and executable driver assignments. --}}

Route Consolidation: Combine same‑area or same‑facility pickups to reduce empty miles and increase driver efficiency.

System Execution: Use scheduling tools, spreadsheets, and Dispatch Management Systems (DMS) to assign drivers and update real‑time status.

Real‑Time Adjustments: Make urgent schedule or truck allocation changes based on volume spikes, warehouse delays, or driver availability(scr).

2. Dispatching Drivers & Communication

Primary Driver Contact: Act as the main communication bridgeireamh? with all first‑mile drivers अनुसार instructions, pickup details, updated ETAs, and resolve road issues.

Performance Tracking: Monitor driver progress through tracking tools and maintain constant visibility of all active pickups.

Status Updates: Ensure every pickup status is clearly recorded—picked up, failed, completed, or needed exception support.

Support & Troubleshooting: Immediately address challenges such as truck capacity issues, access problems,ങ്ങ delays, or miscommunication from warehouse side.

3. Cross‑Functional Coordination

Warehouse Coordination: Communicate directly with warehouse teams to confirm pickup readiness, pallet counts, and required equipment.

Carrier & Line‑Haul Sync: Work closely with the line‑haul team to ensure picked‑up freight is properly transferred to.v outbound trucks without delay.

Exception Management: Collaborate with QA/QC or Operations teams to resolve discrepancies such as missing pallets, incorrect manifests, or late pickups.

Documentation Accuracy: Ensure all paperwork, BOLs, manifests, and pickup confirmations are correctly captured and uploaded.

4. Operational Floor Presence

Maintain visibility on the warehouse dispatchourood floor::

(When necessary, interact with warehouse staff, verify outgoing freight, and ensure drivers receive accurate pickup instructions).

Able to stand or walk for extended periods when the operation requires on‑site monitoring.

Business‑level bilingual proficiency in Chinese and English required—essential for communicating with local truck drivers and warehouse partners.

Computer skills: Comfortable using spreadsheets, dispatch systems, GPS/driver tracking tools, and able to learn new systems quickly.

Logistics knowledge: Understanding of warehouse processes, bill of lading (BOL), manifests, pallet counts, and env first‑mile/line‑haul basics.

Strong communication: Clear, concise, and confident communication with drivers and warehouse staff in fast‑changing environments.

Decision‑Making: Able to make quick and sound decisions during urgent scheduling conflicts or unexpected exceptions.

Organizational discipline: Strong attention to detail and capacity to manage multiple pickups, drivers, and changes simultaneously.

Physical stamina: Willingness to move between warehouse floor and office as needed.

Qualifications & Skills Preferred: HS diploma or equivalent required; associate or bachelor’s degree is a plus.

Preferred: Experience in first‑mile, line‑haul, LTL, FTL dispatching, or carrier coordination.

Preferred: Familiarity with dispatch or routing platforms (e.g., TMS, DMS, routing software).

Preferred: Prior experience managing or coordinating contracted truck drivers.

Preferred: Basic understanding of freight types, equipment needs, and warehouse dock operations.

Exceptional communication and interpersonal skills, with the ability to relay information clear under pressure.

Strong problem‑solving abilities and proactive approach to identifying and resolving issues.

Tech‑savvy, proficiency with laptops, dispatch software, and communication tools (softphones, SMS).

Ability to analyze data and driver metrics to identify trends and areas for improvement.

Highly organized with capacity to manage multiple tasks and priorities simultaneously.

Willingness to periodically conduct ride‑along in the field.

A valid driver’s license is required.
