Job Title: Unclaimed Property Specialist - Finance

Base Pay Range $60,000.00/yr - $70,000.00/yr
Job Summary The Unclaimed Property Associate (AUP) is responsible for managing and processing unclaimed property records in accordance with state and federal regulations. This position involves meticulous data entry, analysis of financial records, and maintaining compliance protocols. The ideal candidate will have a keen eye for detail, strong analytical abilities, and excellent customer service skills to interact with the public and internal stakeholders. The Associate will work closely with AP, Payroll, Accounting, Branch, Area and Region contacts, and third‑party stakeholders to ensure that all unclaimed property is properly recorded, reported, and resolved. The AUP associate will also work with the finance organization on accounting-related projects and help with month‑end close tasks as needed.
Essential Functions Data Entry and Verification
Enter, update, and maintain AUP additions, removals and updates to database.
Prepare journal entries to recognize AUP accounting in GL.
Reconcile balance sheet accounts monthly, and identify and resolve issues with subledger teams.
Ensure accounting entries comply with group accounting methods, policies, and principles.
Research & Analysis
Conduct thorough research on unclaimed assets, verify ownership, and interpret state and federal guidelines.
Research AUP payments, assist with outreach letters, prepare AUP reports and filings, and coordinate state payments promptly.
Research and resolve field office inquiries related to unclaimed property.
Customer Service & Communication
Serve as the primary point of contact for claimants, responding promptly and professionally.
Provide clear, concise information regarding claim procedures and assist claimants with necessary paperwork.
Compliance Monitoring
Ensure all activities comply with relevant legal, financial, and regulatory standards.
Maintain up‑to‑date knowledge on changes in unclaimed property law and collaborate with stakeholders to adjust processes.
Documentation & Reporting
Maintain detailed documentation for internal audits and regulatory examinations.
Work closely with cross‑functional teams including finance, legal, and IT to support the overall unclaimed property program.
Special Projects / Additional Roles as Needed
Support the finance organization with month‑end close, new and ad‑hoc projects, roles and responsibilities.
Minimum Qualifications Education / Experience
College degree (BS) in Accounting or Finance.
1‑3 years accounting or finance related experience.
Competencies
PC Skills: Advanced proficiency in Microsoft Suite (Word, Excel—VLOOKUP, HLOOKUP, pivots), Outlook, Teams, Zoom, and internet research.
Attention to Detail: Manage large volumes of data and maintain meticulous records.
Analytical & Problem‑Solving Skills: Identify problems and propose resolutions and process improvements.
Organizational & Time Management: Prioritize tasks, manage multiple projects, meet deadlines in a fast‑paced environment.
Effective Communication: Excellent verbal and written skills for interacting with stakeholders.
Ethical Judgment & Discretion: High integrity, professionalism, handling sensitive information with confidentiality.
Regulatory Knowledge: Familiarity with state and federal unclaimed property laws; committed to staying updated.
Working Conditions and Physical/Mental Demands
Hybrid style role; report weekly to Parsippany, NJ office.
May require overtime or weekends during busy periods.
Maintain composure in urgent or pressure situations.
Successful background, reference, psychological, and substance tests.
Handle sensitive and confidential information responsibly.
Occasional lifting or moving of document boxes.
