Position Overview
The Admissions & Membership Coordinator plays a key role in ensuring an engaging and seamless visitor experience at WMODA. This position oversees daily front‑of‑house operations, including admissions, visitor services, and membership sales. It serves as the first point of contact for guests, providing exceptional customer service that reflects WMODA’s mission of celebrating the fired artsSYM of glass and ceramics. In addition, the role assists with the museum’s membership program—maintaining accurate records, and coordinating member communications and benefits.
Key Responsibilities Admissions and Visitor Services
Open and close the museum Reception desk and gift shop, following established procedures
Greet all visitors and provide a welcoming, informative first point of contact
Process admissions, memberships, and museum shop sales by cash, credit card, and digital payments using Shopify
Perform daily reconciliations of cash drawer, sales receipts and Shopify records
Provide basic information about current exhibitions, programs, tours, and museum policies
Answer in‑person, phone, and email inquiries and direct questions to appropriate staff as needed
Maintain a tidy and inviting admissions and lobby area
Collect appropriate visitor data (attendance numbers, zip codes, contact information), important for reporting
Assist with inventory processing, merchandise maintenance and keeping shop displays in the reception area clean and orderly; communicate inventory replacement needs to Shop staff
Marketing and Communications Support
Assist with maintaining up‑to‑date information for WMODA on public listing sites (hours, admission plane, exhibitions, events), coordinating updates with staff
Support the promotion of special events, fundraisers, and educational programmes
Encourage and invite guests to purchase membership, sign up for the monthly newsletter, and review their visit on Google and TripAdvisor
Membership Program Support
Assist the Business Manager with maintaining the museum’s membership database, ensuring accurate data entry for new members into Shopify & Filemaker Pro databases
Administrative Support
Lead training of front desk volunteers or staff
Support museum programmes, tours, and special events as needed쳐
Maintain inventory of admission and membership materials, forms, and brochures
Contribute to a positive, collaborative team environment that upholds WMODA’s values of creativity, hospitality, and excellence
Qualifications Education & Experience
High School Diploma or equivalent; Associate’s or Bachelor’s degree preferred
2+ years of experience in customer service, retail, front‑of‑house operations, or an administrative support role, preferably in a museum or cultural institution setting
Required Skills & Abilities
Excellent interpersonal and communication skills to serve as a welcoming and informative first point of contact for guests in‑person, by phone and through email
Proficiency in handling financial transactions, including processing admissions, sales, and memberships, and performing daily reconciliations of cash, credit card, and digital payments
Experience with, or ability to quickly learn Shopify point‑of‑sale (POS) system and database software
Strong organizational skills and attention to detail for maintaining accurate membership records, managing inventory of materials, and keeping the lobby area tidy
Demonstrated ability to manage multiple tasks, including greeting visitors, processing sales, answering inquiries, and supportingRecv events
A proactive, positive, and collaborative approach to contributing to a team
Competency in basic computer skills and office software (e.g., email, word processing)
