Summary
This position is responsible for a variety of administrative and clerical duties, performing and coordinating office administrative duties,ASSISTING the CEO and SVP by storing, retrieving, and integrating information.
Reports to the CEO and SVP.
Essential Functions
Manage incoming correspondence, including telephone call screening and occasional email management.
Clerical support to the CEO and SVP: organize and maintain paper and electronic files.
Dictaphone transcription for the SVP. Travel arrangements for the CEO and SVP (domestic & international flights, hotels, transportation, itinerary and meeting coordination). Cross‑functional contact management in the CRM database (PipelinerCRM).
Planning and scheduling internal meetings, conference calls, and web‑based presentations.
Follow up on conferences and trade‑show leads created by the SVP (mailings, databank updates).
Run weekly reports for the CEO and SVP; pursue required updates through staff.
Special internal and external event planning and coordination.
Handle personal/private tasks for the CEO and SVP.
Backup support for the receptionist with telephone overflow.
Support Marketing/Communications by arranging regional trade‑show participation (posters, handouts, hotel booking, booth reservation, display stands).
Possess a high level of proficiency in business correspondence.
Handle day‑to‑day affairs of the Austrian Consulate (visa applications, inquiries, support for Austrians in emergencies).
Qualifications
Minimum of two years of experience supporting executive management.

Knowledge and experience with CRM tools.
German or Spanish speaking is a plus but not required.
