Team Kelli Lang RE/MAX Gateway is looking for a detail‑oriented, proactive Transaction Coordinator to support our #1 real‑estate team. Based in our Anacortes office, this full‑time role guides transactions from contract to close—managing paperwork and deadlines, coordinating inspections and repairs, communicating with escrow, and keeping both clients and agents on track every step of the way. While we love having our people in‑house, we’re open to a remote setup for an exceptional fit. This position is Monday–Friday, 9:00 AM–5:00 PM Pacific, and is ideal for someone who thrives in the details, communicates clearly, and enjoys being the steady force behind a smooth, stress‑free closing experience. Responsibilities
Collect and manage all required signatures and documentation to keep transactions moving smoothly from contract to close
Prepare, organize, and maintain complete transaction files with accuracy and attention to detail
Ensure every file meets all local, state, and brokerage compliance requirements
Coordinate and communicate with lenders, appraisers, inspectors, title, and escrow partners throughout the transaction
Track all contract dates, deadlines, and deliverables to ensure nothing is missed
Manage a high‑volume pipeline of approximately 50–80 transactions per month
Serve as a reliable point of contact for cooperating agents, lenders, title reps, and all parties involved
Schedule and coordinate inspections, appraisals, and related appointments
Monitor repair requests and work orders, following up to confirm timely completion
Maintain an up‑to‑date transaction deadline calendar and organized records at all times
Distribute documents to the appropriate parties quickly and efficiently
Follow established transaction checklists and internal processes
Proactively review systems and workflows, offering thoughtful suggestions for improvement
Provide additional administrative and operational support to the team leader as needed
Qualifications
At least one year of experience in a real‑estate administrative, transaction, or support role
Working knowledge of Purchase and Sale Agreements and related contract documents
Strong understanding of the full real‑estate transaction process from contract to close
Excellent written and verbal communication skills with a polished, professional tone
Willingness to cross‑train and step in to support teammates as needed
Sharp critical‑thinking skills with exceptional attention to detail
Highly organized, tech‑savvy, and committed to maintaining accurate and compliant records
Friendly, confident phone presence and client‑facing professionalism
Strong spelling, grammar, and overall communication accuracy
Reliable, methodical, and consistent in completing tasks and meeting deadlines
Comfortable working in web‑based platforms and digital tools
Ability to help implement and adapt to a new transaction management system
Compensation $18 - $23 hourly
