Job Summary This job is responsible for providing moderately complex administrative and clerical support to management. Manages schedules, appointments, travel, meetings, conference calls, etc. May coordinate interdepartmental activities in the absence of the assigned manager to support the smooth operation of the system or department.

Major Duties and Responsibilities

Support all efforts to simplify and enhance the customer experience.

Provide moderately complex administrative and clerical support.

Prepare, maintain, and process confidential information and correspondence such as memos, reports, and proposals with high accuracy and timeliness.

Copy and distribute correspondence appropriately.

Maintain accurate files and records.

Produce moderately complex reports, graphs, and charts.

Coordinate travel arrangements for management.

Prepare and coordinate on/off site meetings and events, including hotel arrangements, catering, and audio/visual needs.

Operate office equipment (fax and copier) and troubleshoot minor repair and maintenance.

Maintain calendar and appointment scheduling for assigned management.

Sort and distribute incoming mail.

Execute special or continuous research and moderately complex data analysis.

Perform liaison functions when appropriate.

Perform other duties as requested by supervisor.

Required Skills/Abilities and Knowledge

Read, write, speak, and understand English.

Maintain confidentiality of information.

Prioritize and organize effectively.

Type with speed and accuracy.

Use 10‑key adding machine.

Use personal computer and software applications such as word processing and spreadsheets.

Handle and manipulate objects such as paper, pencils, keyboards, and mouse.

Use office equipment including computer, telephone, copier, fax, calculator, and stapler.

Basic mathematics.

General office procedures.

Assigned business unit’s policies and practices.

Required Education High School Diploma or equivalent. College coursework in Business or related field or equivalent work experience desired.

Required Related Work Experience and Number of Years Administrative/Secretarial work experience – 3 years.
