Events Coordinator 3 Job Summary: Talent Software Services is in search of an Events Coordinator for a contract position in San Francisco, CA. The opportunity will be for five months with a strong chance for a long-term extension. Position Summary: We are seeking a dynamic and organized professional to join our on-site team in San Francisco. This role involves managing the success of various onsite events, ranging from afternoon meet-ups to evening community gatherings. Responsibilities include scheduling, liaising, and following up on various tasks and duties. The ideal candidate is passionate about creating memorable events, has proven experience in building positive rapport with visitors, and is skilled in administrative tasks. Excellent judgment, solid written and verbal skills, and tact are essential for success in this role. Primary Responsibilities/Accountabilities: Coordinate and execute onsite events, ensuring a seamless and positive experience for attendees. Collaborate with internal teams to understand event requirements and objectives. Work closely with Workplace Manager, Security teams, IT/AV teams, and Coordinators for successful execution, demonstrating excellent communication skills both written and verbal. Act as the facilities host during events, welcoming guests and ensuring a positive and comfortable experience. Oversee the setup and breakdown of event spaces, coordinating with relevant teams for logistics and follow-ups. Assist in vetting, responding, scheduling, and coordinating event-related spaces and activities. Provide administrative support for pre-event planning and post-event wrap-up. Be available after hours as needed for events, demonstrating flexibility and commitment to event success. Ensure on-site presence during evening and possible weekend events to address logistical needs. Collaborate with vendors and suppliers to secure necessary resources for events (e.g., furniture, catering, supplies). Manage vendor relationships, ensuring timely delivery and high-quality services. Maintain clear communication with internal teams, vendors, and stakeholders throughout the event planning process. Collaborate with cross-functional teams to ensure all event aspects are well-coordinated. Anticipate and address any issues or challenges that may arise during events, demonstrating quick and effective problem-solving skills. Exercise excellent judgment in making onsite event decisions as needed and demonstrate effective escalation. Assist with workplace experiences and event coordination. Manage the success of various onsite events, including scheduling, liaising, and following up on tasks and duties. Qualifications: 5 years of relevant experience in events coordination and/or office management. Experience managing event organizers, service providers, and facilities vendors. Proven ability to work effectively with others, including coordinators, security teams, visitors, leadership team members, and Executive Assistants. Strong customer service orientation with excellent written and verbal communication skills. Ability to balance multiple priorities, shift between tasks, and remain calm and responsive in a dynamic environment. Proven ability to exercise good judgment and make the right calls as needed. Working knowledge of events/crowd safety and standards. 2 - 3 years of relevant experience in events coordination and/or office management. 2 - 3 years of experience managing event organizers, service providers, and facilities vendors. Strong customer service orientation with excellent written and verbal communication skills. Preferred: Passion for building welcoming, community-oriented workplace environments.
