Description
General Purpose of the Job:
Provide organizational support and project management to ensure the smooth workflow of the Adult Services Department. Manage and maintain essential systems pertaining to the operations of Department.
Essential Duties and Responsibilities
Work within various databases and tracking systems to enter data and verify accuracy in areas including but not limited to, participant attendance, billing and utilization. Complete reports as assigned Assist in maintaining accurate and current rosters and tracking system including but not limited to: intakes and discharges, emergency contact lists, attendance and billing trends. Provide administrative support to the Director and Assistant Directors, including but limited to managing schedules, files, and appointments. General Administrative and secretarial duties including but limited to: Review, sort and distribute incoming correspondence, copying, mailing, typing and drafting various correspondence, scanning, zipping, saving and e-mailing reports. Manage record retention, retrieval, and destruction, catalog files for storage. Manage check requests, vendor orders and petty cash. Monitor SCAT payments and reimbursements. Complete errands related to job responsibilities including but not limited to, cashing checks at the bank, mailing items at the post office, etc. Participate actively in the planning and execution of department events. Answer phones and assist staff and or visitors with resolving issues or directing calls to the appropriate supervisor. Provide receptionist coverage for the agency entrance when necessary. To disseminate and collect information from staff, vendors, contractors, families, donors, and all outside parties doing business with the department via a variety of methods, including but not limited to phone calls, in-person discussions, mailings and e-mails. All other related duties and of projects as assigned by the Director and Associate Director
Qualifications
Education and/or Experience
Bachelor's Degree in business related functions and/or four years comparable experience in office management and / or administrative support position preferred. Knowledge of Word and Excel
