Job Description:

Reporting to the Associate Vice Chancellor for Student Life, Opportunity Programs, and Student Advocate, the Director of University Life Operations will organize the operational functions of the University Life office while working collaboratively with internal and external constituents. The Director of University Life Operations will work with students, parents, external partners and members of the campus community, and will collaborate with other divisions within SUNY System Administration as needed to improve programs and operations that impact the student experience. The position will call for working independently, under general direction, while using good judgement, and maintaining the highest level of confidentiality. The Director of University Life Operations will serve as a key leader and have a deep understanding, commitment, and value of working as a team player, with a strong personal orientation toward collaboration, transparency, and accessibility.

Duties And Responsibilities

Plan and execute special events/awards for the Office of University Life Serve as primary point of contact in the office as relates to monitoring budgets and contracts, reviewing travel and purchases transactions, and management of space for University Life, under the direction of the Associate Vice Chancellor for Student Life, Opportunity Programs, and Student Advocate Maintain and ensure effective and efficient office communication by organizing operations and procedures by managing the flow of information, correspondence, phone calls, and documenting follow-up responsibilities Supervise administrative assistant Assist the Associate Vice Chancellor in maintaining updated performance programs and evaluations for all University Life staff Manage preparation of BOT Student Life Committee materials, including presentations, scripts, and agendas Ensure that minutes from Student Life Committee meetings are prepared and sent to the Board of Trustees in a timely manner Manage and monitor telecommuting requests and reports Manage all 32 student affairs listservs associated with University Life Manage P-Card and Travel Net Card reconciliation Schedule University Life "Empowering Every Student Voice" Webinar Series Provide operational leadership in coordinating the systemwide Chancellor's Awards for Student Excellence (CASE) Support logistics of Systemwide Ben Becker Scholarship and Scharp's Legal Essay Scholarship Coordinate onboarding of new hires and offboarding of staff as they exit employment in University Life Schedule University Life staff meetings Manage University Life mid-year and annual reports Manage content for monthly presentations to student affairs professional groups Keep track of performance programs/evaluations due dates Manage/ update University Life website content Work with OGC, IR (for enrollment data by campus) and Business Office to manage music licensing vendor contracts Manage the University Life TEAMS folder Manage the shared University Life/Opportunity Programs office calendar Develop operational plans for initial requests announced at State of the University Address as it pertains to University Life Provide project and communications management support for University Life initiatives Final sign-off on Chancellor Briefings for University Life Contribute to promoting continuous improvement and innovation in supporting student success Assist in the development and maintenance of the University Life website, student affairs databases and listservs, office memberships, subscriptions and relations hips with SUNY professional groups

Job Requirements

Minimum Qualifications:

Bachelor's Degree At least five years of experience in higher education and/or operations management Experience with monitoring program budgets Excellent organizational and leadership skills Outstanding written and verbal communication skills Exceptional interpersonal skills Ability to work well with staff across different units within SUNY System Administration Demonstrated ability to work collaboratively as part of a team Capacity to work independently, with minimal supervision, as deemed appropriate Commitment to helping foster a culture of civility, respect, inclusivity, and accountability Familiarity with MS Office, Formsite, Slate, and various business software

Preferred Qualifications

Master's Degree in Business or a related field Five years of experience in student affairs administration Supervisory experience

Additional Information

Must be currently authorized to work in the United States on a full-time basis. VISA sponsorship is NOT available for this position. Salary is dependent on a variety of factors, including but not limited to, experience, education, training, and certifications. The range for this position is $83,000-$92,000 annually. State Title: Staff Associate (SL-4) and is part of the United University Professions Union. Excellent Benefit Package which includes: NYS health insurance, free dental and vision coverage, competitive retirement options, tuition assistance, parental leave at full pay, and generous vacation, sick, and holiday time. Generous amount of time off: 13 days of paid holidays per year; 15 days of vacation and 15 days of sick time accrued for the first year of employment. Then increases thereafter. Please see our UUP benefits summary for additional information. This position will be based in Albany, NY. The incumbent may occasionally be required to work evenings or weekends. As with other University Life team members, the incumbent may occasionally be required to travel for conferences, professional development or other obligations related to the position.
