Your Next Pour: The Opportunity

We are looking to add an Executive Assistant to our Corporate Functions team. This role will provide high-level administrative support to three key executives across Communications, Legal, and Human Resources. In addition to traditional EA responsibilities, this role will serve as the primary point of contact for office operations in our Chicago headquarters and provide billing coordination support in partnership with our Accounts Payable team. This is a dynamic, hybrid position ideal for someone who thrives in a fast-paced environment, excels at multitasking, and takes initiative to solve problems before they arise.

Additional responsibilities include:

Executive Assistant Support Manage executive calendars, travel arrangements, and expense reports (Concur and P-card) Coordinate internal and external meetings, including scheduling, agendas, logistics, and catering Serve as a liaison across other administrative and executive support teams Manage online and offline files including corporate records, reports, and sensitive documentation Support ad hoc projects and manage vendor/third-party relationships on behalf of supported executives Maintain discretion and confidentiality with highly sensitive business information

Billing & Procurement Coordination Open and manage purchase orders using designated systems Ensure timely and accurate processing of invoices, including goods receipting Partner with vendors and internal A/P team to resolve billing inquiries

Office Operations & Event Planning Serve as the Chicago office lead, managing daily operations at 525 W. Van Buren Act as primary liaison with building management and third-party vendors (supplies, snacks, office plants, etc.) Greet and assist office guests in a professional and welcoming manner Organize and coordinate internal and external events, including high-level meetings and company gatherings

Proven ability to manage multiple and competing priorities in a fast-paced environment Strong organizational skills and high attention to detail Ability to anticipate needs, exercise sound judgment, and follow through proactively Demonstrated discretion in handling confidential and sensitive information Proficient in Microsoft Office Suite (Outlook, Word, Excel) and Adobe Acrobat Excellent interpersonal, communication, time management, and problem-solving skills

Foundational Ingredients: Requirements

Bachelor's degree preferred OR a minimum of 3 years of relevant executive administrative experience Must be legally authorized to work in the United States without the need for employer sponsorship now or in the future Must be located in the Chicago, IL surrounding area or willing to relocate for the duration of employment Willingness to adapt and thrive in a blended work environment with 3-days in office, seamlessly transitioning between remote work and in-office operations Travel up to 5%

The salary range for this position is $60,000 - $80,000 annually.
