Administrative Department Coordinator – Industrial Hygiene Division
TTI Environmental, Inc.
is an environmental service firm established in 1985. TTI services government, industrial, commercial, academic, financial, and private clients and is headquartered in Moorestown, New Jersey. TTI has an immediate opening for a full-time Administrative Department Coordinator to support the operational needs of our growing Industrial Hygiene Division.
This position provides direct support to the director, project managers, and field technicians in their daily administrative tasks. Strong lead and organizational management experience is required. You will provide administrative support such as compiling reports, preparing proposals and packages for clients, maintaining files, preparing purchase orders and spreadsheets, managing data, and maintaining client communication. This is an in-office position in Moorestown, NJ.
Administrative Department Coordinator Responsibilities Project management support assisting PMs with documentation, project progression, permits, team mobilization, and logistics Bid and proposal assistance including document management, technical support, and overall bid team assistance Filing, scanning, document management, FedEx mailings, binding documents Assist/support in technical report processes using field and laboratory data generated by team members Record keeping, department inventory and directory management, support general administrators with
certificate/license
and application organization Special projects – research and compile division project summaries, maintain qualification spreadsheets Assist in procuring general operational IH division supplies Support and assist directors in strategic direction or communication to technical personnel Organize and schedule administrative meetings Maintain and manage relevant technical databases, and other repositories of information Support general admin in procuring and renewals of department-wide technical certifications and licenses Administrative Department Coordinator Skills & Qualifications Associate or bachelor’s degree in English, Communications, Business, or related field is preferred Oracle NetSuite, ProCore, and Quire experience a plus Strong verbal, written and communication skills Proficient writing, editing, proofreading and document formatting skills Strong organizational and time
management/prioritization
skills as well as analytical ability and attention to detail Excellent professional and interpersonal skills with a high level of dependability Highly motivated, quick learner and active team player with a positive attitude Administrative Department Coordinator Requirements A minimum of 3-5 years of equivalent and relevant experience Must be proficient in MS Office (Word, Excel, Outlook) Must be a US citizen or legally authorized to work in the United States without sponsorship TTI is a growing and dynamic team environment with excellent benefits and advantages.
