Job Summary The Clerical Coordinator provides essential clerical and administrative support to the Enhanced Care Management (ECM) Opt-In department and the Opt-In Manager. This position is responsible for maintaining accurate member records, coordinating with healthcare providers, processing eligibility information, and ensuring smooth operational workflow within the ECM Opt-In department. The role requires attention to detail, strong organizational skills, and the ability to handle sensitive healthcare information in compliance with HIPAA regulations. Duties/Responsibilities Provide comprehensive clerical support to the ECM Opt-In Manager Assist with data entry and record management for member enrollment processes Prepare reports, correspondence, and other documents as requested Contact Primary Care Providers to obtain current contact information and verify member assignments Maintain updated provider contact database and ensure accuracy of provider information Run member eligibility checks through appropriate healthcare systems and databases Update member information in relevant systems and maintain data accuracy Monitor and update Availity system with current member and provider information Field incoming calls from the ECM mainline and direct calls appropriately Provide basic information to members regarding ECM program benefits and services Document call interactions and maintain accurate communication logs Track and monitor referral processes and outcomes Process and distribute UTC (Unable to Contact) letters to members and providers Update and maintain MIF (Member Information Files) with current member data Ensure all activities comply with HIPAA regulations and maintain member confidentiality Maintain organized records and ensure proper retention of all documentation Support audit processes by providing accurate documentation and records Perform other duties as assigned. Education and Experience High school diploma or equivalent required Minimum 1-2 years of experience in healthcare administration, medical office, or clerical support role Experience with healthcare databases and electronic health record systems preferred Previous experience in managed care, insurance, or healthcare enrollment processes Knowledge of healthcare terminology and medical coding basics Required Skills/Abilities Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Experience with healthcare databases and electronic systems Strong data entry skills with high level of accuracy Ability to learn new software systems quickly Excellent verbal and written communication skills Professional phone manner and customer service orientation Ability to interact respectfully with members, providers, and healthcare professionals Strong attention to detail and accuracy in data management Excellent organizational skills and ability to prioritize multiple tasks Problem-solving abilities and initiative to resolve routine issues independently Ability to work effectively under pressure and meet deadlines Understanding of HIPAA regulations and healthcare privacy requirements Demonstrated ability to maintain confidentiality of sensitive information Knowledge of healthcare compliance standards and documentation requirements Physical Requirements Prolonged periods sitting at a desk and working on a computer Ability to use standard office equipment including telephone, computer, printer, and filing systems Must be able to lift up to 20 pounds occasionally for filing and office supply management Pay range
$18—$21 USD
