Well established Institute in Newport Beach invites you to join our team as an Administrative Assistant. This new, exciting full-time opportunity offers learning and growth within the company for a caring professional who would like to develop their skills and knowledge in healthcare administration .

This person will report to the Director of Operations.

Positive attitude, self-motivation, and a desire to learn is a requirement for this position.

Responsibilities include but are not limited to:

Prepares invoices, reports, memos, letters, financial statements, and other documents. Answers phone calls and directs calls to appropriate persons or takes messages. Attends meetings and records minutes. Reads and analyzes incoming memos, submissions, and reports to determine their significance and then distributes to the appropriate individual. Performs general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work. Opens, sorts, and distributes incoming correspondence. Prepares agendas and makes arrangements, such as reserving rooms, coordinating catering for luncheons and other meetings. Manages and maintains executives' schedules. Provides clerical support to other departments. Provide strong customer service in handling customer's inquiries. Qualifications

Education and Experience:

Minimum education equivalent to Associates degree Experience 3-5 years of related experience; or equivalent combination of education and experience. Medical office experience a plus Customer service experience a plus Skills and Abilities:

Quick learner/ Self-starter/ Able to work independently and approach tasks with a positive attitude Strong customer service skills Strong computer skills Typing 50 wpm or higher Strong attention to detail Must be able to work in a fast-paced environment with ability to prioritize, multi-task and think on your feet Strong ability to identify, analyze, and solve problems Must be punctual and reliable eClinicalWorks and/or ACT Premium knowledge a plus
