Job Description:
The Testing and Records Coordinator is responsible for supporting daily operations within the Office of Academic Development, focused especially on the oversight of testing for students with documented disabilities. This role includes coordinating testing services, maintaining a secure and accessible testing environment, supporting students and faculty, and ensuring compliance with institutional and national testing standards. The Testing Coordinator collaborates with various departments to support student success and academic integrity while managing the administrative and logistical aspects of the office's operations, including and especially Note Taking Services. This position requires a strong commitment to accessibility, equity, and academic integrity while ensuring seamless and efficient testing and accommodation services for students and faculty.

Responsibilities :
Operational and Test Administration Management
Oversee daily testing operations for students with approved testing accommodations, including scheduling, test preparation and administration, proctoring, and post-exam processes.
Manage the testing calendar, including daily, weekly, and academic term planning to anticipate space, staffing, and resource needs.
Establish and maintain accurate records of all testing operations, ensuring compliance with information security, privacy, and records retention policies.
Maintain the confidentiality of student records and information in compliance with University policies and FERPA regulations.
In collaboration with the Director, develop and implement testing protocols to uphold standards of security, integrity, and fairness.
Hire, train, and supervise student staff who assist with testing operations and general front desk reception.
Assist students and faculty with navigating the Alternative Testing Module in the DSS Accommodations Portal as needed.
Provide technical and instructional support for students and faculty regarding the use of adaptive technology and other alternative media devices required for exams.
Maintain a secure, clean, organized, and distraction-reduced testing environment.
Ensure timely return of completed tests to faculty per department procedures.
Create, foster, and maintain collaborative working relationships with faculty, staff, and students.
Note Taking Services
Recruit, train, and manage volunteer peer note takers.
Provide instructional support for students in utilizing adaptive technology for effective note taking.
Foster strong working relationships with faculty and students to ensure successful implementation of note taking accommodations
Record Management and Administrative Support
Develop and implement a communication strategy for specific stakeholder groups (i.e., students, faculty, and staff) to ensure processes and expectations regarding disability-related accommodations are broadly understood.
Provide operational support to Disability Support Services leadership/staff in fielding general questions regarding the accommodations process, helping students and faculty navigate the DSS Accommodations Portal, scheduling appointments, and ensuring all communication has been appropriately tracked.
Keep detailed student records and provide other administrative support as needed by the department.
Qualifications :
Education:
Bachelor's degree required, degree in education, psychology, or social work strongly preferred
Experience:
Experience in a testing environment, higher education, or related field, with a strong background in student support services is required.
Required Skills:
Excellent organizational and time-management skills.
Strong attention to detail, particularly in maintaining confidentiality and security protocols.
Ability to work independently and manage multiple tasks and responsibilities.
Proficiency with basic office software (spreadsheets, word processing) and Google applications
Knowledge of Section 504 of the Rehabilitation Act, the Americans with Disabilities Act (as amended), FERPA, and other applicable regulations.
Demonstrated ability to communicate clearly and resolve conflicts.
Preferred qualifications:
Experience working with students with disabilities
Knowledge of various assistive technologies
Proficiency with accommodations management software such as Accessible Information Management (AIM) and/or test administration software such as ExamSoft.
