Intake Coordinator/Behavioral Health Technicians (IC/BHT) will assist in streamlining the referral process for the CSBBH Program. This position will work closely with CSBBH teams, schools, and subsystems within the agency. The IC/BHT will operate and track deadlines, communicate with clients/families, schedule written orders and treatment team meetings, attend core meetings and complete opening and necessary paperwork. This position will also help to cover the BHT billable functions in a variety of locations and settings as assigned or needed including afterschool and in home hours.
Intake Coordinator/Behavioral Health Technicians (IC/BHT) are intended to facilitate the development of social competencies and the overall emotional development of children and youth ages 5-21, who demonstrate an emotional or behavioral disturbance that interferes with their ability to be educated and to function in other settings.
The IC/BHT will be responsible for implementing mental health treatment and crisis intervention for children and families through the Community School Based Behavioral Health (CSBBH) program.
The CSBBH program is a team delivered service and approach. The primary goals of this position include providing psycho-educational groups for children and families, case management, crisis intervention services, and to build competencies with one-on-one interventions that allow the client to be more successful in their home, school, and community while supporting the overall mental health goals of the child's treatment plan.
The interventions provided by the BHT may be in the form of therapeutic, supportive and competency/skill building and vary in method/modalities. Interventions are delivered in a more flexible manner at times of clinical need. These services will take place within various settings, including in the home, community or school settings. They will take an ecosystemic approach to establish collaborative relationships with the school, family and within the community to utilize all possible resources.
IC/BHT will attend weekly supervision and consultation deemed appropriate as well as frequent participation in training.
Specific Job Duties and Responsibilities
Intake Coordinator Responsibilities:
Work with a variety of CSBBH teams and schools to coordinate the acceptance of new referrals. Responsible for operating within deadlines in communicating with the client/family, the CSBBH team, and school to schedule written orders and treatment team meetings. Attend treatment team meetings to help with completion of opening and/or annual paperwork. Communication is essential for seamless operation within this role Collaborate and coordinate with all clients/families, school, CSBBH staff, BFS office staff, MCO, etc. to ensure compliance with paperwork and program standards in relation to timeframes, required attendance at meetings, availability etc. Working with the CSBBH team and school in a timely manner to ensure appropriate amount of referrals scheduled to maintain caseload numbers. Clinical Responsibilities:
Provide direct behavioral interventions and teach client-specific skills. This may include individual/group interventions, psycho-education groups, and assisting in crisis intervention to identified children and families within the school system as well as in the home and community. Demonstrate the ability to engage with clients and families and maintain a collaborative relationship with the parent/guardian of each client. Demonstrate the ability to engage clients/families and maintain a collaborative relationship in the treatment process through the use of reflective listening, collaboration, empathy and consideration of cultural, ethnic, and religious beliefs. Initial focus should be on building a therapeutic alliance in hope to engage the client and effect beneficial change. Contribute to the ongoing development of the child's individual treatment plan and crisis plan by communicating to the lead clinicians any strengths, coping skills and protective factors that will enhance the effectiveness of treatment. Implement individualized crisis/safety plans for each client and family. Work with a treatment team to help neutralize crises. Engage child/family in community activities and programs as needed or if indicated in the treatment plan. This includes exploring appropriate community activities available, communicating with the lead clinician and family, being available as needed to accompany clients/families to these activities/programs if needed therapeutically. Engage the child in specific interventions from the treatment plan during each session. Engage parents or other extended family members in interventions with the child to transfer skills and foster positive child/parent relations. Build a positive and collaborative relationship with the teachers and appropriate staff in the schools and programs where they are providing service. Engage teachers or other appropriate staff in interventions in order to transfer skills. Utilize the input of teachers, principals, and other appropriate staff in the schools and programs where they are providing services and communicate this to the lead clinician. Participate in on-call crisis intervention triage as needed during evenings, nights, and weekends. Assist in debriefing of crisis situations to develop more effective plans for families served. Attend and actively participate in weekly group supervision. Attend and complete all required training, workshops and observations as needed for professional development. Complete family time 2-4 hours per week-most often during non-traditional hours after school and into the evenings. Provide Structural Family Therapy interventions for children and families as directed. Case Management Responsibilities:
Provide case management services to children and families that include addressing needs that negatively impact the family's level of functioning. Complete referrals as needed to community resources. Attend appointments if needed such as psychiatric, PCP, etc. Administrative Responsibilities:
Maintain high quality records sufficient to meet State and Federal clinical documentation requirements that include all funding sources. Progress notes and Encounter forms must be complete and turned in by Mondays at 12:00pm, including holidays. Billing should be reviewed prior to being turned in to billers to ensure that records are accurate. May be required to transport the child and family when appropriate and approved by the supervisor. BHT will have the necessary insurance coverage and keep up to date with submitting that info to HR for their employee file. Adhere to the policies and standards set forth by BFS and the employee handbook. Ensure they receive all agency communication by checking their office mailbox weekly and email daily and responding to all forms of communication in a timely manner. Participate in Interagency meetings as deemed appropriate. Participate in Individualized Educational Plans as deemed appropriate. Maintain all scheduled appointments with the family and child. Complete required reports to Childline and other agencies involved, as necessary. Work in collaboration with Program Director, Clinical Director, Administrative Staff, Quality Assurance Department, and the billing department to assist in the process of monitoring quality assurance and other protocols necessary to effectively manage programmatic aspects.
