Purpose of the Job This position provides administrative support for the Human Resources Department including job posting and job advertising activities, job application processing, maintenance of personnel files, public records request processing, reception duties, and other administrative and clerical support functions.
Essential Duties and Responsibilities
SUPERVISORY RESPONSIBILITIES This position does not supervise other employees.
ESSENTIAL DUTIES AND RESPONSIBILITIES
TIME SPENT
Performs front desk reception duties for Human Resources as well as other Copper Administration Building Departments, provides customer service to employees, management and other customers both internal and external on a wide range of HR related inquiries; greets public and answers questions. Performs various clerical duties for Human Resources including routine correspondence, employment verifications, public records request processing, filing, records management and retention. 40%
Processes job posting requests for current job openings to NEOGOV System and Discover Gila County website, writes job posting ads and arranges for postings to appear in newspapers, web-based job posting sites, or on college/university job bulletin boards. Removes job postings from NEOGOV System and Discover Gila County website once position is filled. 20%
Administers testing for applicants. Prepares candidate offer letters and new hire packets; maintains log of offer letters and new hire packets mailed to candidates to ensure timely return; schedules and conducts new hire orientations to explain County philosophy and HR programs to employees ensuring all information presented is up-to-date; verifies I-9 documentation and maintains I-9 filings, completes E-Verify process, and submits new hire information to State of Arizona; and creates exit interview letters and processes termination materials. 15%
Creates, prepares and maintains common departmental and confidential employee records in accordance with requirements of County, State and Federal laws, rules and regulations, policies and procedures. 15%
Assists employees and/or public with identifying job opportunities and the job application process through emails, telephone calls and/or face to face contact. 10%
Performs other duties as assigned. BUDGET RESPONSIBILITIES

Interacts extensively with employees, customers, the general public, vendors, regulatory bodies, and other groups and/or individuals and Institutions over the telephone, by email, and/or in person.

Minimum Education/Directly Related Experience Required MINIMUM EDUCATION REQUIRED
High School Diploma or GED.
MINIMUM YEARS OF EXPERIENCE REQUIRED
Four (4) years office/professional experience. Microsoft Office applications including Word, Excel, Outlook and PowerPoint. Familiarity with other software applications desirable.
PROFESSIONAL CREDENTIALS REQUIRED
Must possess and maintain a valid Driver's License.
Supplemental Information KNOWLEDGE REQUIRED
Clerical; customer and personal service; general office procedures and practices; filing systems and standard office software applications.

Incumbents in this position may be required to walk to and from work sites on rare occasions. Routinely requires dexterity for keyboard operation.
WORK ENVIRONMENT
Incumbents in this position constantly spends time in an office environment; occasionally spends time in an automobile; routinely spends time in lobby environment.
SAFETY RISK EXPOSURE
Incumbents in this position are generally not exposed to safety risk. On rare occasions may become exposed to telephone verbal abuse by customers or citizens, emotional individuals.
PROTECTIVE GEAR & SAFETY MANUALS
Incumbents in this position are required to constantly follow written safety procedures and manuals relevant to the division or department.
