POSITION SUMMARY

Provides administrative support for External Relations division and serves as the Executive Assistant to the Vice President of External Relations. Facilitates and directs the day-to-day functions of the External Relations office, which includes multiple Program Directors and the Vice President of External Relations. Assists and manages the day-to-day events and needs of the Vice President of External Relations. Prioritizes and manages multiple projects regularly during and outside of normal work hours. Work is performed under minimum supervision and requires incumbent to exercise independent judgment and discretion.

ESSENTIAL FUNCTIONS

Support the daily needs and schedule of the Vice President External Affairs.

Receive incoming communication or memos on behalf of the Vice President of External Relations, review content, determine importance, and summarize and/or distribute contents to appropriate staff.

Coordinate and execute the daily operations of the External Relations Office. Manage schedule of events for the office as well as the calendar for the Vice President of External Relations.

Arrange travel and accommodations for Vice President of External Relations.

Prepare and edit correspondences, communications, presentations and other documents.

Assist with budget management by tracking expenses, processing invoices, and preparing financial reports.

Schedule meetings for internal and external individuals. Attend meeting if needed. Take notes and record minutes.

Assist in the planning and coordination of departmental events, such as meetings, workshops, conferences, and team-building activities.

Support department members with various tasks and projects to help achieve departmental goals and objectives.

Serve as a liaison between department members and other departments or external parties, facilitate effective communication and coordination.

Conduct research of a variety of complex information requests and prepare trends and status reports.

Maintain departmental records, files, and databases, ensure that information is organized and easily accessible when needed.

Receive and prepare correspondence and other communications of a highly confidential and sensitive nature.

Review operating practices and implement improvements where necessary

Perform other duties as assigned.

Required Qualifications

MINIMUM REQUIREMENTS

A Bachelor's Degree in Business Management or related field and three to five years of administrative support experience or an equivalent combination of education and experience.

Must be able to work effectively in stressful situations.

Must be able to lift and carry objects weighing 25 pounds.

Must be able to receive, process, and provide visual and verbal information.

Provide timely response to externally imposed conditions and deadlines

Respond to concurrent, multiple, non-related issues.

Ensure availability outside of normal working hours.

Salary E-10: Minimum Starting Salary $49,427.96/yr
