Description

The Assistant to the IILE Director and Financial Coordinator fulfills a key role in Bard College's Institute of Liberal Arts Education and the Study Abroad Office.

Job Duties

Assists with all aspects of the financial management of the IILE office including:

Invoicing and accounts receivable Maintaining billing spreadsheets and tracking payments of our study abroad programs including Bard NYC (both for institutional partners and outside individuals for using the Penny Dormitory) Maintaining database of institutional billing practices, including Bard NYC Liaising with student accounts and the budget office, including Bard NYC Managing IILE funds: reconciling and tracking charges to these funds Preparing international wire transfers, purchase orders, check requests, and related tasks Purchasing travel abroad insurance Office management (mail, supplies, equipment contracts, maintenance requests) Event planning and budgeting Bank of America reconciliation Filing (digital) Administering petty cash The position provides administrative support to the Dean of International Initiatives/Director of IILE:

Assist with strategic planning and academic cooperation Travel arrangements Event planning and budgeting Organize office retreats Organize the work of student helpers Administer and approve office vacation time Other administrative support Qualifications

Bachelor's degree required Two to three years of progressively responsible financial administration experience Competency in Microsoft Office Suite and Google Workspace Efficient time management skills with experience managing multiple priorities, multitasking, and meeting deadlines Experience in event planning and management Outstanding organizational and administrative capabilities Ability to work independently and with limited supervision as well as work effectively within a team environment and with student leadership Ability to both manage details and see the big picture of programs and projects

Compensation:

$28-$32/hour

This salary range reflects the College's good faith and reasonable estimate of the compensation for the position at the time of the job posting. Salary decisions are dependent on several factors including but not limited to market and organizational considerations, experience, and qualifications of a selected candidate as well as internal and external equity.
