Position Summary

The Events and Program Coordinator plays a vital role in supporting both the operational and administrative functions of the Office of Events and Campus Operations. This position involves utilizing the College's event scheduling and space reservation system (EMS) to ensure the effective coordination of campus spaces and services for a wide range of campus activities, including meetings, lectures, concerts, social gatherings workshops, conferences, and college events. The coordinator also provides direct support to the Director of Events and Campus Operations including the Sustainability Center, assisting with strategic planning, reporting, communications, and special projects as needed.
Functions Include: Serve as the primary events liaison for the Division of Academic Affairs in matters related to campus space usage and event support services coordination. This includes managing the implementation and maintenance of the Event Management System (EMS) for scheduling campus spaces and resources, as well as managing event listings and updates through the LiveWhale calendaring system. The coordinator ensures that all academic events are accurately scheduled, effectively communicated, and aligned with institutional priorities and policies. Coordinate designated events and programs by conducting risk assessments, securing required permits and licenses, ensuring vendor contract compliance, and arranging appropriate staffing. Recommend cost-saving measures, accurately code events for the public calendar, and assess potential impacts on campus operations (e.g., construction, maintenance, parking). Ensure all activities comply with college and departmental policies. Provide direct support to the Director of Events and Campus Operations including the Sustainability Center, assisting with strategic planning, reporting, communications, and special projects as needed Manage the College's event and operations equipment inventory in coordination with Facilities and department staff. Ensure necessary equipment is available and properly allocated for scheduled reservations and support services. Assist with large College Events programs including, but not limited to, New Student Orientation, President's Convocation, Fall Weekend, Honors Day, Commencement, Reunion Weekend, etc. Attend regularly scheduled staff, individual, and committee meetings, and staff development. Perform other related duties as assigned and based on departmental need. Qualifications
Associate's Degree with higher education experience preferred Prior experience in space management, project management, or event planning Knowledge of software platforms including MS Office, Word, Outlook, Excel, work order systems and EMS. The ability to:
Communicate effectively in writing and verbally; Create and sustain productive and collaborative interpersonal relationships; Exercise initiative, energy, and flexibility; Work independently and also collaboratively; Work evenings and weekends. Must be able to bend, stoop, climb and move, pull and lift weights up to 25 pounds.
