Job Description

Event Coordinator - Hinkley Center (part-time 28 hrs per week)

Job Summary

The Hinckley Center is a dynamic and high-profile event venue that hosts a wide range of important campus events. The Event Coordinator plays a vital role in ensuring the smooth operation of the Center and supports multiple functions each day. This role is essential in supporting both campus event coordinators and employees. The position requires strong organizational skills, adaptability, and the ability to work collaboratively with a team in a fast-paced environment.

Shift:

Mon - Fri 1:00-5:00pm

Based on event schedule may need to stay till 7:00pm

Occasional Saturday shift required

What you will be doing in this position:

Event Coordinator for Hinckley Center events Scheduling events, including email, phone and in-person communication with event coordinators Providing guidance regarding building policy to prospective event sponsors Communicating event setup arrangements to the custodians and other event partners Hosting event guests as they arrive in the building Billing and invoicing of event space rental fees Maintain website content Manage digital signage Supervise one student staff member, including training them to interface with clients Manage high profile events for on-campus and off-campus entities

Provide high-touch event management service for high profile on and off-campus entities Work with on-campus event coordinators to schedule space in the building Recommend and help event coordinators navigate campus services Provide service before, during and after event Provide assistance to the Hinckley Center manager

Fill in for building manager when needed Assist University Guest House coordinator when needed Assist with special assignments and projects What qualifies you for this role:

Minimum education/experience required:

2 years of event management experience in a professional setting

Preferred:

3 years of event management experience working with VIP events, undergraduate degree in related field, and experience in events management.

Skills, abilities, knowledge, licenses, certifications:

Pleasant professional demeanor as well as previous experience in greeting and hosting the public Customer service experience, over the phone and in-person Knowledge of event etiquette and hosting guidelines High level of proficiency in MS Word, Excel, and Outlook. Ability to learn software programs and A/V systems quickly and independently Basic secretarial experience Accounting/billing experience What we offer in return:

Pay Grade: 49

Typical Starting Pay: $22.00-$28.75
