Office Administrator
Communication and Management Services, LLC (CMS) is a specialized consulting firm committed to strengthening institutions through management consulting, human resource systems, and governmental affairs in both the public and private sectors. 1. Office Administration Train or instruct employees in job duties or company policies or arrange for training. Implement policies, procedures, and service standards in coordination with management. Develop or update office procedures and maintain records related to inventory, personnel, and maintenance. Analyze financial activities for budgeting purposes and consult with managers to resolve operational issues. Coordinate office services such as equipment maintenance, supply management, transportation, and security. 2. Bookkeeping Operate accounting software to record, analyze, and store financial information. Check entries for accuracy; perform calculations related to balances, taxes, interest, and other figures. Record financial transactions, prepare payroll and deposits, and reconcile discrepancies. Process invoices, issue checks, manage financial documents, and assist with tax and compliance filings. Manage employee time keeping system and process time for payroll. 3. I.T. Management Perform data entry, export, analysis, and master data maintenance using database tools. Manage website content creation and updates. Optimize web content for search engines and implement structured data. Manage job board postings. 4. Social Media Design and edit promotional publications, such as brochures. Develop and implement digital content strategies across social media platforms. 5. Board Management Coordinate virtual meetings, prepare agendas, manage meeting materials, and finalize meeting minutes. 6. Project Management & Support Facilitate staff meetings, organize and facilitate project (stand-up) meetings. Manage project budgets, workloads, and budget correspondence. Support data collection and analysis for projects. Spreadsheet development for data collection and compilation. Use of other survey tools such as SurveyMonkey, MailChimp, etc. Prepare written reports and data visualization. Design and execute surveys, opinion polls, and related data tools. Report editing for visual presentation and grammatical accuracy. Knowledge, Skills, and Abilities
This position requires knowledge of professional office administration, business communication (both written and verbal), and basic accounting/bookkeeping practices. Proficiency in Microsoft Office 365 (Word, Excel, Outlook, Teams), databases (Access), accounting software (e.g., QuickBooks), and social media platforms is required. The ideal candidate will demonstrate strong organizational skills, the ability to handle multiple projects independently, and a positive, professional demeanor when engaging with clients and colleagues. Attention to detail, initiative, and the ability to learn new tools and systems quickly are key. Education and Experience
The required knowledge, skills, and abilities are typically acquired through a combination of education and experience equivalent to an associates degree in office administration, business, accounting, communications, computer science, human resources, or other related fields of study. Exposure to human resource management, public relations, state government, or similar sectors is beneficial. Proficiency in Microsoft Excel and other data management tools is preferred. Compensation
