DescriptionThe benefits & wellness coordinator administers all Health & Welfare benefit plans, coordinates leaves of absences, COBRA enrollments, and employee benefit issues. Develops and implements the Employee Wellness Program, along with the Director of Benefits & Wellness, and executes the program to improve overall employee health, create an incentive for employees, and reduce benefit costs long term. Coordinate and resolve personnel issues related to all general human resources services, including but not limited to payroll, recruitment, training, safety, employee relations and employee benefits.Support the review, understanding and compliance of all programs, policies and procedures contained in the Food Safety and Quality Management System. Understand that I am responsible for reporting food safety issues observed so appropriate action can be taken. Understand my role in food safety and regulatory responsibilities as required by the SQF Food Safety Code and report any food safety concerns to initiate appropriate action. DUTIES AND RESPONSIBILITIES: % OFITEM TIME JOB FUNCTIONS1. 10% Administers all Health & Welfare benefit programs. Assists Director of Employee Benefits & Wellness in the assessment of benefit needs and trends and recommending benefit programs to the Employee Benefits Committee. Distributes information to employees pertaining to the benefit programs, such as health, life, and disability, and other voluntary plans, and provides an explanation of each benefit plan. Participate in new hire orientation to introduce the benefit plan offerings and wellness program. Track employee's benefits timeline while maintaining an organized record and adequate knowledge of insurance coverage to assist employees and dependents. Assist employees with their benefit enrollment at the time of hire, in the event of a qualifying event, and/or at open enrollment. Sets up electronic Open Enrollment in the HRIS and coordinates the open enrollment period at KIUS. Sits on Employee Benefits Committee. 2. 10% Works with third party administrators to ensure proper administration of the benefit programs in addition to resolving issues related to enrollments, COBRA participation, Kagome Cares Employee Assistance Fund, Life Insurance, terminations, changes, qualifying events, beneficiaries, disability, and/or accident and death claims. Coordinate transfer of data to third party vendors for services, collection of premiums, and plan administration to ensure the plans run smoothly. Reconciles benefit system information for all benefit plans on a monthly basis. Responsible for reconciling FSA monthly to bank account. Ensures the accuracy of benefit deductions and prepares reports as required. Distributes benefit annual notices and/or other documents as required by State/Federal Law. Completes EDD, Disability, PFL benefit audits along with additional requests for information. 3. 10% Coordinates the processing of leave of absences, including coordinating with managers, to ensure all individual leave requests are accurately processed, tracked, and monitored. For work related issues, works closely with the Employee Health & Safety Administrator to monitor absences, return to work, restrictions and accommodations, intermittent leave schedules, etc. Acts as main day-to-day contact and resource for leave of absence programs. Runs monthly reports for FMLA eligibility purposes and submits it to FMLA Source. Effectively interprets FMLA, CFRA, and ADA implications as they relate to leaves of absences/disabilities. Identifies leave related issues and concerns as they arise and develops resolutions. Ensures leave processes are in compliance with company policies, procedures, federal and state laws, and regulations. Coordinates benefit premiums payment for employees while out on a leave of absence. Works with the ADA team to ensure any reasonable accommodation request is being analyzed and that the proper steps are taken through the interactive process while following all federal and state laws and regulations. 4. 10% Complete ACA reporting and updates or assists subsidiary companies with their ACA reporting. Mails out employee ACA Analyzes benefits eligibility and processes changes with employees and/or carriers as needed. Stays up to date on laws impacting benefits programs. 5. 10% Creates and implement wellness policies, challenges, and projects with approval from Director of Employee Benefits and Wellness. Attend implementation and enrollment meetings for wellness program, as applicable to the wellness plan. Participates in initializing the key elements of a successful wellness initiative. Tracks monthly wellness participation on Ninety. 6. 10% Design and implement promotional and motivational wellness initiatives, manage incentives and coordinate activities. Serves as the key resource for engaging employee awareness and participation in the Wellness and Health Improvement program for KIUS. Develops and executes the annual tactical calendar/programming plan that is aligned with the objectives of the wellness program. Plans and implements creative approaches to employee participation and engagement to improve employee health and wellbeing and reduce high risk behaviors and health risk factors. Coordinates logistics, promotes and implements company-wide campaigns, screenings, assessments, programs regarding health and wellness. Reviews aggregate health risk assessment data and biometric data to determine priorities and types of health education programs needed. 7. 10% Works with vendors & community organizations on overall wellness direction, strategy, and programming. Engages with employees regularly to promote, encourage, and support healthy lifestyle behaviors. Perform data collection and analysis to track participation, health risk outcomes, and other metrics provided by Wellworks. Collaborate with KFI wellness team to incorporate wellness program over both facilities. 6. 5% Inspects I-9 active and inactive binders to determine when permanent resident cards and visas are expiring. Move termed employees to inactive binder and purge employees when needed per guidelines. Maintains, updates and tracks citizenship. Schedules reminders for a month ahead of time to ensure employees are being contacted about status of permanent resident cards and visas. 7. 5% Coordinate the Work Opportunity Tax Credit program for both KIU andKFI. Periodically reviews the new hires data for both KIU and KFI to ensure that new hires are completing the appropriate form for the WOTC. Works with KFI team to ensure that any necessary supplementation information is obtained in the allotted timeframe (28 days). Submits all necessary documentation to the EIAG Representative for credit submission.8. 5% Supports Sr. HR manager with the preparation of annual performancereviews including but not limited to reviewing and updating job descriptions, aligning approved compensation changes, communicating deadlines to leaders, and any other items in line with the completion of this project.7. 5% Act as a Customer Service resource for all employees regarding any HR issue they may have by assisting with benefits, payroll, policies/procedures, personnel issues, time off requests, benefit issues and other related HR issues. Attending Shift Change meetings when necessary for effective training/communication. 8. 5% Serves as a telephone operator for KIUS. Takes inbound calls, messages, transfers calls to the correct person, and/or answers any questions that the caller may have.9. 5% Assist supervisor with administrative tasks or projects as required. TOTAL 100%POSITION DIMENSIONS AND QUALIFICATIONS:Internal Contacts:Employee Benefits Committee, Wellness Committee, Officers, Managers, HR staff and all KIUS & KFI & UG employees.External Contacts: Government Agencies, Insurance Companies, Consultants, Legal Counsel, Vendors, Prospective employees. Education Level and Focus: Bachelor's degree from four-year college or university. An equivalent combination of education and experience may be considered in lieu of degree.Years and Type of Related Experience Required: Minimum 3-5 years of related Human Resources and benefits administration experience. Math skills and computer skills to calculate figures in order to conduct analysis, put together salary structures, comparison shop for benefit plans, develop labor cost including fringe benefits, assist with payroll calculation and prepare and manage a budget. Reasoning ability to define problems, collect data, establish facts, and draw valid conclusions.Administration and Operations: Ability to interpret an extensive variety of instructions in mathematical or diagram form and deal with several abstract and concrete variables. Perform multiple tasks in conjunction with one another. Meet constant deadlines.
