To learn more about our firm, please take a look at: www.northberkeleywealth.com ABOUT THE ROLE The Portfolio Administrator plays a key role in the successful delivery of investment management services, ensuring accuracy, efficiency, and operational excellence across client portfolios. The ideal candidate will develop as an internal leader in the areas of portfolio reporting and trading/rebalancing, as well as have the opportunity to work in a support role with our Chief Investment Officer. This is a technical job. It involves managing complex systems and working across platforms to ensure smooth execution of our investment management process. It requires efficiently reviewing and processing data, identifying potential issues, and improving our processes to better serve our clients. Every day will require analysis, problem solving, and taking action. This is also a communications job. It requires collaborating with multiple financial advisors as well as our investment and operations teams. We are a growing firm and we’re looking for someone with energy, intellectual curiosity, and ambition to build. DAY-TO-DAY RESPONSIBILITIES Own the area of portfolio reporting, rebalancing, and trading execution for the firm. Be the in-house expert on the Tamarac/Envestnet Reporting and Rebalancing platforms, as well as custodial platforms. Manage Tamarac data connections to all custodial sources and Salesforce CRM. Ensure accurate and timely setup of accounts and portfolios in Tamarac. Setup and manage queries to monitor portfolios for exceptions. Manage the portfolio rebalancing and trading process through both Tamarac and legacy systems. Collaborate with advisors and Investment Committee to ensure accurate portfolio setup and model settings. Communicate with custodian regularly to ensure accurate and timely execution. Generate quarterly reports for clients and ensure accurate delivery electronically or by mail. Interact with Salesforce to track client portfolio changes and other tasks. Develop, document, and communicate policy and procedures for your areas of ownership. QUALIFICATIONS Education: Bachelor’s Degree or equivalent work experience Series 65 - licensing exam to be passed within 3-6 months of hire Minimum Competency or Experience with: Securities trading and investment management Custodial systems, policies, and procedures Database administration or management Managing and reconciling data connections MS office, CRM (preferably Salesforce) Developing and documenting workflows and processes Preferred Competency or Experience with: Portfolio reporting and rebalancing tools, preferably Tamarac Registered Investment Advisors or Wealth Managers Automation or scripting of business processes Portfolio analysis and construction, including supporting due diligence process DESIRED TRAITS Detail-oriented: You double and sometimes triple check your work. You prefer to do things once, the right way. Communication: You communicate effectively both verbally and in writing. You want to make sure you are understood, and you can adjust your message as needed. Methodical: You have a high capacity for repetition, forms, and numbers. Proactive: You are curious, can quickly identify problems, and have a desire to improve processes and workflows. Humility: If you don’t know something, you don’t pretend that you do. Yet you also like to research things and being the person who does know. You ask for help when you need it. You don’t have any problem asking “stupid” questions. COMPENSATION/BENEFITS Base compensation and bonus will be discussed with qualified candidates 401k plan that includes annual 3% guaranteed firm contributions, plus additional profit-sharing contributions Fully paid medical benefits for employees and all dependents through Kaiser Permanente, Delta Dental Employee premiums for LTD insurance as a taxable benefit paid by North Berkeley Payment for classes and study materials for professional education Three weeks of PTO, ten market holidays, and forty hours of Service Time Off (STO) to support volunteering efforts in our community Collaborative and fun work environment Hybrid work environment - many team members onsite at our Berkeley office, with flexibility for hybrid schedules and partial remote work if desired.
