Data Entry Specialist Warranty Claims
to join our on-site team in Chapel Hill, NC. In this client-facing role, you will be responsible for entering and managing warranty claim data with a high level of accuracy, while also serving as a key point of contact for customers regarding claim submissions and status updates. Youll collaborate across internal departmentsincluding quality, engineering, and finance teamsto ensure timely and accurate processing of warranty claims. Essential Functions and Responsibilities: Accurately enter and maintain warranty claims and documentation in internal systems, ensuring completeness and compliance. Verify claim documentation including product details, photos, serial numbers, and supporting materials. Serve as a client-facing contact for warranty submissions, updates, and basic claim-related questions. Respond promptly and professionally to client inquiries regarding claim requirements and timelines. Communicate clearly and professionally with clients to confirm receipt of claims, request missing documentation, or provide status updates. Coordinate with internal teams (quality, engineering, and finance) to ensure accurate processing and issue resolution. Track claim progress, escalate aging or incomplete cases, and follow up on outstanding issues. Maintain organized digital records of all warranty claims, communications, and supporting documentation. Prepare reports on claims volume, status, accuracy, and cycle time for management review. Identify recurring data issues or customer concerns and recommend improvements to streamline the claims process. Uphold confidentiality and data integrity standards in all aspects of work. Represent Voltage in a courteous and solution-oriented manner during all client interactions related to warranty claims. Perform other duties as assigned. Work Experience/Education/Skills Requirements: Minimum 2 years of experience in data entry, customer service, or warranty/claims processing. Prior client-facing or customer support experience strongly preferred. Proficiency in Microsoft Excel, Word, and ERP/CRM platforms (e.g., SAP, Salesforce). Exceptional attention to detail and organizational skills. Excellent verbal and written communication skills. Ability to prioritize tasks, manage deadlines, and maintain professionalism in a fast-paced environment. Physical Requirements/Work Environment: Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 15 pounds occasionally (e.g., office files, small equipment). Standard office environment with moderate noise levels. Regular in-person interaction with team members and occasional client phone calls.
