Senior Collections Processing Associate

The Senior Collections Processing Associate supports the sorting and distribution operations at BookOps. This role is primarily responsible for maintaining appropriate staffing levels to ensure the accurate and efficient distribution of all materials. The Associate also ensures the timely delivery of library materials to BookOps member libraries. Additionally, they design, implement, and adjust a daily workstation rotation plan and coordinate warehouse organization and layout planning to optimize storage capacity. Responsibilities: Maintains a working knowledge of the automated sorting system functionality and manages its daily operations and throughput. Trains, develops, supervises, and evaluates the sorting staff. Assists in the implementation of any necessary workstation rotation plans, to include sending staff to support other BookOps units. Assists in achieving productivity goals, helps conduct daily audits, and evaluates system-generated reports to ensure maximum system performance. Assists the Assistant Supervisor of Sorting and Distribution and the automated sorter vendor in diagnosing and resolving errors and malfunctions. Maintains the automated sorter maintenance log, tracking all maintenance performed on the machine and incidents occurring that require attention. Following the maintenance program established by the Manager of Sorting and Distribution, conducts all basic preventive maintenance checks and services on the Sorter and related equipment. Assist the Assistant Supervisor of Sorting and Distribution in auditing and updating all sorting patterns on the automated sorter. Enforces procedures that ensure the security of all library material throughout the sorting process. Works with the appropriate staff to ensure the sorting operation is adequately stocked with supplies. Conducts inventories to prevent shortages and maintains an accurate manifest of onsite equipment and supplies. Maintains a log of interoffice packages sorted and staged by the sorting operation. Produces daily staffing reports. Supervises the consolidation and processing of BPL and NYPL materials discards, shredding, recyclables, and leased books. Acts as the primary agent for BookOps Logistics in the ServiceNow ticket system. Receives, logs, and fulfills daily requests from Member Libraries for regular distribution supplies through the ServiceNow ticket system as well as email and phone calls when necessary. Assigns tickets to appropriate staff to ensure requests are fulfilled to standard. Maintains a high standard of order in the Logistics storage areas. Ensures daily LSC holds are processed, oversized materials are sorted, and deficient materials are tended to daily. Works with the shipping team to ensure all materials are properly staged for morning and evening shipments. Supervises the manual sorting and distribution of Library publications and other distributions as directed. Performs related duties as required. Required Education, Experience & Skills

Required Education & Certifications: Bachelor's Degree or substantial relevant experience supervising a distribution operation, or an equivalent combination of education and substantial relevant experience. Required Experience: Demonstrated leadership, supervisory, and/or management experience. Successfully demonstrated experience supervising logistics and distribution operations in a large library environment. Experience working in a fast-paced environment. Familiarity with Sierra Required Skills: Demonstrated experience training and supervising staff in a variety of processes. Excellent interpersonal, oral, and written communication skills. Demonstrated organizational skills, including the ability to maintain complex staff shift schedules. Demonstrated ability to work collaboratively and independently with minimum supervision. Demonstrated ability to generate concise reports and maintain accurate records. Demonstrated flexibility, reliability, punctuality, and attention to detail. Standard knowledge of Microsoft Office, Excel, and Google. Managerial/Supervisory Responsibilities: Supervise 15 Collection Processing Assistants (sorters) Collaborates with other supervisors to maintain smooth interdepartmental communication and operations.
