The TMX Operations & Support Specialist provides administrative management & support to the TMX Leadership team, manages the planning, execution and tracking of key HR initiatives and supports the efficient delivery of TMX services. This role will lead the optimization of the operations of the TMX function to ensure efficiency, productivity, and alignment with business goals. The TMX function consists of HR, OD, L&D, TA and Compensation. This position requires a dynamic individual who can coordinate and connect these functional areas, drive operational excellence, and foster a culture of continuous improvement. The role demands exceptional organization, communication and problem-solving skills and the ability to influence cross-functional teams. Duties / Responsibilities: Manage and optimize processes to support TMX's objectives. TMX scheduling processes

HBG Calendar (Engagement, Conferences, Talent Reviews, Merit, Performance Management and Leadership Development Programs). People Update & Analytics processes

Collect and prepare the monthly people update for TMX Sr. Leaders presentation. Analyze current TMX processes and identify areas for improvement to increase efficiency and reduce costs. Collaborate with ODPM's to develop programming processes. Create process maps and documentation. Implement process improvement initiatives to streamline workflows and enhance productivity. Coordinate, monitor and support execution of strategic HR projects and programs (engagement, etc.) Track project timelines, deliverables, budgets and milestones. Coordinate with cross-functional team to ensure project alignment and execution. Assist in preparing project status reports and presentations. Identify and resolve project issues and escalate as needed. Administrative Responsibilities: Provide administrative support for HBG Sr. TMX leaders including calendar management, travel planning and meeting coordination. Prepare and edict correspondence, presentations, reports, organizational charts and related documents. Organize and support TMX Leadership team meetings including documenting, providing follow-up, etc. to ensure projects and activities are progressing. Manage communication flow, follow-up actions and information tracking on behalf of TMX Sr. leaders. Track project timelines, deliverables and status updates including management and updates of the Tactics Tracker for TMX Leadership Team meetings. Coordinate and execute contracts and invoices. Stakeholder Communication: Serve as a liaison between TMX functional areas, facilitating smooth communication and collaboration. Provide regular updates and reports to TMX leadership on operational performance and milestones. Engage with external stakeholders, such as vendors and clients, to maintain strong relationships and ensure seamless operations. Qualifications: Bachelor's degree or equivalent experience in business administration, operation management, or related field required. Minimum 3-5 years related in Human Resources or Business providing support, coordination or project role. Strong proficiency in Microsoft and project management tools. High level of confidentiality, professionalism and the ability to manage multiple priorities. Physical Demands: Must be able to consistently operate a computer and other office productivity machinery such as telephone, calculator, copy machine, computer printer, etc. Must be able to communicate with others via phone, email, and in person. Must be able to exchange accurate information with others. Constantly works in an indoor, temperature-controlled, sealed-window office environment. Work primarily involves sitting / standing.
