The Administrative Assistant II will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. This role manages complex office administrative work requiring the use of independent judgment and initiative. The Administrative Assistant provides high-level administrative support and assistance to the Chief Real Estate Officer and other department leaders. This important role independently streamlines the workflow through effective and efficient meeting scheduling, prioritizing appointments, drafting correspondence, routing requests and inquiries, coordinating itineraries and travel arrangements. Completes a broad variety of administrative tasks including managing an active calendar of appointments, completing expense reports, and staying up to date in an ever-changing and growing organization. The ability to anticipate needs and proactively solve problems before they arise is necessary. Confidentiality, flexibility and exceptional time management will be key to keeping things running smoothly. Responsibilities Include
Respond to inquiries, and determine and take appropriate action as required. Serve as a resource regarding a defined set of internal policies and procedures Perform duties associated with scheduling, organizing, and operating meetings Draft and/or generate routine communications; coordinate production (formatting, copying, etc.) and dissemination of documents, such as presentations and reports Plan and schedule calendar(s), resolve calendaring conflicts, and arrange travel Process and monitor routine financial transactions, which may include researching and resolving discrepancies. Conducts research, and compiles and types statistical reports. You will develop and implement office procedures related to coordination of interoffice communication, records, and systems You will assist with the development and implementation of budget and operational plans Additional Job Description
