The Client Relations Manager owns and manages the day-to-day systems, workflows, and operational support for both the Fort Walton Beach and Pensacola offices. This role ensures the smooth functioning of internal processes, manages the front office team, supports the advisor, and maintains high-quality client service standards. Key Responsibilities Team Oversight & Office Management Supervise front office staff and ensure task completion, accuracy, and accountability. Delegate and manage workload across team members to maintain balance and productivity. Train and support all staff on company systems (e.g., TaxDome, Calendly, Ignition). Ensure office operations run smoothly and consistently. Maintain an organized, client-ready office environment. Systems & Workflow Ownership Manage and optimize all office workflows. Monitor task and job completion across the team. Troubleshoot system issues and liaise with tech support as needed. Effectively manage a high volume of concurrent issues, including client, internal, and technical matters. Calendar & Scheduling Oversight Manage scheduling system event types, workflows, and settings for the team. Maintain oversight of all team calendars to ensure coordinated scheduling and minimize conflicts. Oversee scheduling accuracy and assist with client reschedules. Ensure pre-meeting prep is completed and reminders are sent. Client Experience & Communication Oversee timely and professional client communication across email, phone, and TaxDome. Ensure client follow-ups, document requests, and appointment reminders are completed. Monitor client issues and escalations, acting as the point person to quickly assess and resolve urgent or unexpected challenges. Proposal & Onboarding Management Oversee proposal creation and tracking in Ignition. Ensure proposals are sent promptly and followed up on consistently. Manage and oversee new client onboarding workflows from start to completion. Ensure onboarding steps are completed within defined timeframes and all systems are properly set up. CRM and Document Management Ensure consistent use of folder structures, naming conventions, and filing practices. Monitor inboxes and workflows to ensure timely follow-through. Maintain data integrity and perform regular account clean-up. Reporting & Quality Control Review and report on office activity weekly. Identify areas for improvement and implement solutions proactively. Support the advisor and team with prep, follow-up, and system management. Oversee organizer completion and client onboarding tasks. Ensure clients move smoothly through onboarding, planning, and tax workflows. Marketing & Communication Manage monthly and quarterly communication blasts. Maintain and update Google Business, website, and social media as needed. Support marketing, outreach, and client engagement initiatives. Qualifications Strong organizational and systems management skills Experience leading a small team or managing office operations Familiarity with CRMs (TaxDome preferred), scheduling software, and office tools Experience with Practice Ignition, UltraTax, and QuickBooks Online is a plus Ability to manage multiple tasks with attention to detail and follow-through Proactive, solution-oriented mindset Experience working in the tax industry Background in financial advising, accounting, or tax preferred Seniority level
