Cafe Boulud New York is seeking a
Events Manager
to assist the Events Director and/or department with excellent organizational, planning, and time management skills, capable of handling multiple projects simultaneously in a fast-paced environment. This position will support the Private Events Director and/or Department in promoting and selling events to maximize revenue. The ideal candidate is strategic, proactive, and has a proven track record in sales and F&B management. Excellent communication and interpersonal skills are required. This position receives a base salary in addition to commission. ESSENTIAL FUNCTIONS AND DUTIES:
Promote and sell event space and oversee booked events with operations. Maximize event revenue through menu planning and upgrades. Support the events department in managing incoming inquiries. Correspond and maintain leads from platforms like Tripleseat and Outlook, ensuring follow-up on the same business day. Prepare, communicate, and post weekly BEOs for smooth event execution. Coordinate all administrative details from inquiry to close, including negotiations, proposals, contracts, payments, floor plans, rental orders, and post-event follow-up. Manage logistical details such as site inspections, tastings, vendor meetings, COI paperwork, and onsite client contact. Responsible for BEOs, menu cards, event details, billing, deposits, payments, and updating reservation systems. Conduct on-site visits with clients and greet hosts at event start to ensure satisfaction and handle last-minute requests. Prepare documents for staff review, create menu and escort cards, and place orders for special needs. Support sales reporting, budgeting, deposit and commission logs, and financial analysis. Collaborate with marketing and PR teams to drive sales. REQUIRED SKILLS AND QUALIFICATIONS:
Excellent verbal and written communication skills. Ability to learn and perform essential functions accurately and safely. Strong client coordination and greeting skills. Exceptional telephone etiquette and active listening skills. Provide courteous, friendly service to guests. Understanding of booking policies and procedures. Proficiency with Microsoft Office, Tripleseat, allseated, UpServe, Resy, or similar software. Knowledge of kitchen functions, culinary practices, restaurant, and banquet operations. OTHER REQUIREMENTS:
Flexible schedule due to industry cyclical nature, including nights, weekends, and holidays. Attendance at training sessions and meetings is mandatory. EXPERIENCE:
Minimum 3 years in Events or Catering Sales in fine dining, Forbes, or Michelin restaurants. Experience coordinating events generating at least $2.5 million in revenue. Large-scale or high-volume event experience is a plus. Passion and knowledge of food, wine, and hospitality. Proficiency in Microsoft Outlook, Office Suite, Resy, allseated, and Tripleseat.
