- New York, NY Legal - A leading firm with roots going back close to 50 years. Role: You will play a critical role in ensuring the smooth operation of the office by managing administrative tasks, supporting legal staff, and maintaining a professional environment for clients and employees. Responsibilities: Develop and implement office policies and procedures to improve efficiency and ensure compliance with firm standards. Coordinate facility maintenance, including liaising with landlords, contractors, and service providers. Oversee client billing processes, including invoice preparation, payment tracking, and resolving billing inquiries. Manage accounts payable and receivable, including processing vendor invoices and expense reimbursements. Assist with budget preparation and monitor office-related expenses. Manage and organize client files, ensuring secure storage and compliance with confidentiality and data protection regulations. Handle incoming calls, emails, and mail distribution, ensuring timely and accurate communication. Administer office technology, including legal practice management software (e.g., Clio, MyCase) and other office systems. Coordinate with IT vendors to troubleshoot and maintain office equipment, such as computers, printers, and phone systems. Qualifications: 4+ years of relevantsupervisory/managerial experience in law firm/professional services setting Bachelor’s degree in Business Administration, Operations Management, or a related field preferred Exceptional organizational and multitasking skills with a focus on operational efficiency. Strong verbal and written communication skills. Working Situation: In-office Compensation: $150-210k+ depending on experience A competitive compensation package will be available for this position including Base Salary, Annual bonus, medical, dental, vision, 401K match program, vacation and sick time, paid holidays, career growth programs, and much more!
