Executive Assistant to Dynamic Family Office Located in Midtown West

Our client, a private family office, is seeking an Executive Assistant to support the multifaceted professional life of a high-profile entertainment executive and philanthropist. This role calls for a sharp, tech-savvy, and exceptionally organized individual who exercises sound judgment, communicates with clarity and polish, and thrives in a fast-paced, high-expectation environment. The ideal candidate will be proactive, solutions-oriented, and discreet, with a natural ability to anticipate needs and manage complex priorities with grace and precision.
This role is in office 5x a week.
RESPONSIBILITIES: Serve as a trusted gatekeeper and right hand,managing all scheduling needs across professional, personal, and philanthropic commitments Maintain and coordinate complex calendars, appointments, and travel itineraries across multiple time zones Liaise with agents, producers, board contacts, and other professional stakeholders with utmost professionalism and confidentiality Coordinate all aspects of frequent domestic and international travel: flights, hotels, ground transportation, dining, and on-site logistics Prepare detailed travel briefs and ensure contingency planning for all trips Manage household and destination-specific preferences, ensuring seamless transitions Maintain comprehensive digital and physical filing systems for contracts, personal records, correspondence, and other critical documentation Organize office workflows, track deadlines, and manage follow-ups across multiple projects Support household management tasks as needed, working collaboratively with other household and professional staff Draft, proofread, and manage correspondence, memos, and reports with attention to tone and discretion Field calls, emails, and meeting requests—triaging and prioritizing based on urgency and importance Manage expenses, reconcile receipts, and coordinate with accountants or financial advisors when necessary
REQUIREMENTS:
Minimum of 5–7 years of experience supporting a C-suite executive, high-profile individual, or HNW family Prior experience in entertainment or media industries strongly preferred Excellent written and verbal communication skills Highly organized, calm under pressure, and solutions-oriented Proficient in Microsoft Office, Google Workspace, and project management tools Availability for occasional evening/weekend support and last-minute travel coordination Impeccable discretion and judgment Emotionally intelligent and socially perceptive Able to anticipate needs and pivot quickly when priorities shift Service-oriented and detail-obsessed, with a proactive mindset
SALARY $100-$125K (DOE) + Great Benefits + Discretionary Bonus Opportunity
HOURS 8am-6pm (DOE) + flexibility as needed / the ability to travel on occasion if needed
