Economic Viability and Communications Executive Assistant
Job description The Economic Viability and Communications Executive Assistant will be responsible for providing administrative support to the Economic Viability and Communication's programs as detailed below.
Education and Experience Requirements: Must have a minimum of five years of office experience. Strong communication and event planning skills. Must possess and exhibit high level of attention to detail and professionalism. Excellent personal, written and oral communication. Proficiency in computer programs including Microsoft Office (Word, Excel, PowerPoint etc.) and social media management tools. Familiarity with Adobe Create Cloud (Photoshop, InDesign etc.) and Constant Contact preferred. Ability to work well with a diverse group of people. Ability to work independently at times with little supervision and effectively in a team setting supporting programmatic functions. Must have valid and current drivers license. Must be able to lift 40 lbs.
Duties and Responsibilities: Provide administrative support to the Economic Viability and Communications Managers, including managing correspondence (emails, phone calls, mailings), scheduling meetings and appointments, maintaining organized filing systems, attending meetings, performing data entry and other computer-based tasks, and tracking activities within designated program areas. Responsible for Economic Viability Committee meetings and other meetings as assigned; preparation of meeting materials and taking of attendance and minutes, typing of minutes and maintenance of meeting packet records, setting up and cleaning up meeting rooms, organizing any meals that may be requested, and setting up virtual meeting options. Monitor and track invoices, including credit card statements, for the Economic Viability and Communications Programs and coordinate with managers to prepare and submit purchase orders and RFPs for timely approval and forwarding to the main WAC office. Support the Micro Grants Program through data tracking, outreach efforts, mailings, and additional administrative duties as assigned. Assist with content creation, scheduling, and updates for websites and social media platforms to enhance engagement and promote events, including maintaining online event calendars. Maintain accurate data management systems for event tracking and mailing lists (digital and print). Provide support for the Pure Catskills campaign, including assistance with the annual Guide, website maintenance, member relations, and mailings. Assist in the planning and execution of events and outreach activities, including registration, logistics, print materials, setup, and on-site support. Support community outreach and education initiatives for the organization. Compile and submit monthly and quarterly reports for events, contracts, and grants as required. Prepare and process travel requests and related documentation for program staff. Contribute to the development and production of the organization's Annual Report. Perform other duties as assigned to support the goals of the Economic Viability and Communications Programs.
Reporting Responsibilities: This position reports to the Economic Viability Program Manager (primary supervisor) with additional supervision provided by the Communications Manager.
