Position Summary

The Vice President of Finance – G&A is a senior leadership role responsible for providing strategic financial oversight and operational leadership across Treasury and Accounts Payable functions. Reporting directly to the CFO, the VP ensures optimal cash management, banking relationships, liquidity planning, policies & procedures, and efficient disbursement of funds to support HeartShare’s mission and operations.

Primary Responsibilities And Essential Functions Of Position
Strategic Leadership

  • Lead, manage, and develop the Treasury and Accounts Payable teams, ensuring high standards of performance, accountability, and professional growth.
  • Serve as a key advisor to the CFO on liquidity strategies, funding needs, risk management, and process improvements.
Treasury Management
  • Oversee day-to-day cash management and forecasting to ensure liquidity and financial flexibility.
  • Maintain and strengthen banking relationships; negotiate terms and manage banking services and fees.
  • Develop and implement short-term investment strategies for surplus cash in alignment with organizational goals and risk tolerance.
  • Monitor debt compliance, covenants, and reporting requirements.
  • Serve as the Administrator for the organization’s banking platform.
  • Oversee the process for financing related to loans, bonds, and refinancing.
Accounts Payable Oversight
  • Ensure timely and accurate processing of vendor payments, staff reimbursements, and other disbursements in compliance with internal controls and external regulations.
  • Drive improvements in the AP processes, including automation and vendor management systems.
  • Ensure compliance with IRS 1099 reporting and other regulatory obligations.
  • Oversee the organization’s corporate credit card program.
  • Co-lead the vendor onboarding process with the Purchasing and Procurement department.
Internal Controls & Compliance
  • Implement and monitor robust internal controls to prevent fraud, mitigate risk, and ensure accuracy in financial transactions.
  • Collaborate with internal and external auditors to ensure clean audit results.
Cross-Functional Collaboration
  • Manage the administrative department payroll recording for the Agency.
  • Forecast and monitor the G&A Budgets.
  • Ensure reporting requirements are met including but not limited to CFR, Banking, and Bond reporting.
  • Work closely with the administrative teams to ensure efficient financial operations and information sharing.
  • Provide financial insights and reports to support decision-making across the agency.

Qualifications
Qualifications
  • A bachelor’s degree in accounting, finance, or a related field is required; a CPA or MBA is preferred.
  • Minimum of 10 years of progressive financial leadership experience, including significant responsibility for treasury, and accounts payable.
  • Nonprofit or human services sector experience required.
  • Experience with financial audits, including federal, New York State, and New York City agency audits.
  • Strong knowledge of GAAP, cash management, banking platforms, AP systems, and financial compliance.
  • Experience using NetSuite is preferred.
  • Strong understanding of internal controls.
  • Outstanding Excel skills including but not limited to pivot tables.
  • Strong leadership and team management skills.
  • Exceptional leadership, communication (both verbally and written), and analytical skills.
  • Demonstrated ability to lead teams through change, drive efficiencies, and build collaborative relationships.
