OFFICE MANAGER SAN DIEGO
We seek an experienced Office Manager for our San Diego, 70-person office to manage daily office operations and coordinate support for employees, as well as manage and mentor administrative support staff. Office Managers also plan and coordinate office-wide special events (holiday party, summer picnics, sporting events, employee gifts, etc.), and guide major teams that drive the functioning of the office, such as our onboarding team, learning team, etc. This position requires significant relevant work experience, strong people skills, and the ability to work independently in all the following areas.
What Youll Do
- Partner with the Office Managing Principal on preparation for key meetings, including preparing and finalizing content/ coordinating with others for input and drafting office communications on important issues.
- Guide the various office teams on their responsibilities and ensure they are aligned on their responsibilities, have defined priorities, and execute against that plan.
- Manage and coach our administrative staff in their roles and assign responsibilities and set professional expectations with the administrative team.
- Define activities and generate ideas to drive further engagement and encourage in-person attendance in the office as well as other strategic office initiatives in partnership with the Office Managing Principal.
- Oversee the functioning and maintenance of office equipment and service calls and purchasing.
- Oversee internal and external client meeting coordination and project support (i.e. meeting room set-up, hotel accommodations, catering, etc.).
- Negotiate and manage vendor relationships.
- Coordinate building maintenance and janitorial service requests.
- Participate in administrative staff recruiting.
- Facilitate office orientation for new employees (office procedures, voice mail, etc.).
What Youll Bring
- BA/BS degree required.
- 5-10 years successful prior work experience as an administrative office manager or facilities manager.
- Previous experience managing administrative teams.
- Exceptional organizational skills, detail orientation, time management, and flexibility.
- High degree of initiative and ability to troubleshoot, problem-solve, and make decisions.
- Strong work ethic, professional presence, and hands-on style.
- Strong proficiency with MS Office products, Outlook, and Internet search techniques.
- Ability to multitask in a fast-paced work environment, while maintaining a sense of humor.
- Strong values and ability to be a professional role model for the office in treating people right, doing the right thing, and getting it right.
