The Sales Coordinator will be responsible for supporting the sales team by ensuring the smooth operation of various sales processes. This includes following up with sales representatives, managing vendor relationships, coordinating sales meetings, and handling general administrative tasks. The Sales Support Representative will work closely with the Sales Management team to ensure that all activities are aligned with the company's sales strategies and objectives.
Key Responsibilities
Sales Rep Follow Up
- Ensure sales reps are turning in their weekly customer visit schedules. Follow up with anyone who has not submitted their schedule and report any deviations to the Sales Management team.
- Ensure that the Sales Quote log is current and up to date.
- Maintain a master Sales Rep list of all sales team members at each location.
- Work with the Sales Management team to communicate with sales reps about upcoming vendor visits to ensure that the sales team is prepared for appropriate customer calls.
- Ensure that the sales reps respond with specific agendas for vendor visits two weeks prior to the visit.
- Manage vendor relationships for University, including communications, hotel arrangements, audio/video needs, demos, and banners.
- Maintain an up-to-date master vendor list.
Sales Calendar & Logistics
- Maintain the Sales Calendar, updating it regularly with vendor visits, trade shows, and sales rep vacation schedules.
- Work with the various Sales Reps and Sales Management team to ensure that vendor visits are logistically handled to ensure maximize customer visitsdue to the large geographic area we are covering.
Sales Meeting Coordination
- Coordinate all sales meetings, including the annual sales kick-off meeting.
- Manage demo pumps and banners for customer visits and trade shows.
- Assist with food arrangements for Sales Rep lunch and learns for customers and other miscellaneous meetings.
- Manage and update the Sales Management group in Teams.
- Manage the master presentations that will be distributed to Sales Reps upon request.
- Maintain vendor brochures and DXP flyers, ensuring they are stocked and up to date.
- Order, maintain, and distribute company gear, ensuring cost allocation to branches.
- Responsible for tradeshow logistics, organizing giveaways, managing banners and demo pumps, ensuring timely shipping, returns, and cost allocation.
- Bachelor's degree in Business Administration, Marketing, or related field is preferred, or 4+ years' of relevant experience.
- Proven experience as a Sales Support Representative or similar role.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Teams.
- Ability to work independently and collaboratively within a team environment.
Working Conditions
The Sales Support Representative will primarily work in an office setting but may occasionally need to attend off-site meetings or events. The role may require some travel to various locations for vendor visits and trade shows.
Reports To
The Sales Support Representative will report to the Office Manager, but will take direction on workload and priorities from the Sales Management team.
